Job Description
Ally Home Care & Medical Staffing Agency is seeking a dependable, organized, and motivated HR/Administrative Assistant to join our growing team.
This position is ideal for someone who enjoys working in a fast-paced office environment where every day is different. In addition to supporting Human Resources, this role plays an important part in recruiting, employee onboarding, healthcare compliance, staffing coordination, and day-to-day office operations. The ideal candidate is detail-oriented, able to multitask, and enjoys working with both healthcare professionals and facility clients.
Responsibilities
- Post and manage job advertisements on various hiring platforms.
- Review applications and resumes and conduct initial candidate screenings.
- Schedule interviews and communicate with applicants throughout the hiring process.
- Assist with employee onboarding, orientation, and completion of new hire paperwork.
- Verify employee licenses, certifications, CPR/BLS, TB clearances, background checks, and other required employment documents.
- Maintain accurate employee files and ensure compliance with company policies and healthcare facility requirements.
- Monitor and document expiration dates and follow up with employees regarding renewals.
- Assist with staffing coordination by communicating with employees regarding shift availability and helping fill open shifts when needed.
- Communicate professionally with healthcare facilities, hospitals, skilled nursing facilities, assisted living communities, employees, and applicants.
- Submit employee credentials and required documentation for facility clearances.
- Process payroll and verify employee timekeeping records.
- Answer incoming phone calls and emails and provide excellent customer service.
- Schedule meetings and assist with general office administration.
- Prepare employment-related documents, reports, and correspondence.
- Support day-to-day HR functions while maintaining confidentiality and professionalism.
- Assist management with special projects and additional administrative duties as assigned.
Requirements
- High school diploma or equivalent required (Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field is a plus but not required).
- At least one year of office administration, human resources, recruiting, or customer service experience preferred.
- Ability to work in the office Monday through Friday.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Word, Excel, Outlook, and general computer applications.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong attention to detail.
- Professional demeanor and ability to maintain confidentiality.
Preferred Qualifications
- Experience in healthcare, home care, medical staffing, or a healthcare-related office.
- Experience verifying professional licenses and certifications.
- Familiarity with healthcare staffing or recruiting.
- Knowledge of employee onboarding and compliance documentation.
- HR or recruiting certifications (SHRM, PHR, etc.) are a plus but not required.
