Full-Time Gym Manager

Schedule: Monday–Friday, 1:00–9:00 p.m.

Position Overview
SBG Bend is seeking a personable, organized, and motivated Gym Manager to oversee the daily operations of our Brazilian Jiu Jitsu and Striking gym.
This is a hands-on leadership position for someone who can move comfortably between sales, customer service, administration, facility maintenance, inventory management, and program evaluation. The Gym Manager must be willing to handle both the large responsibilities of supporting a successful gym and the small daily tasks that keep the facility operating at a high standard.
The right person will understand that managing a gym may involve reviewing key performance indicators and evaluating class attendance one moment, then cleaning training equipment or helping a new family choose a program the next.
Primary Responsibilities:
New Member Sales and Onboarding
- Welcome prospective members and create a friendly, professional first impression
- Respond to phone calls, emails, texts, and online inquiries
- Schedule and conduct private introductory lessons for prospective students
- Give gym tours and explain our Brazilian Jiu Jitsu, Striking, Judo, Wrestling, and youth programs
- Learn about each prospective student’s goals and recommend the most appropriate program
- Explain membership options, pricing, schedules, and gym expectations
- Assist individuals and families with the enrollment process
- Enter new member information accurately into the gym’s database
- Follow up with prospective members who have not yet enrolled
- Support children’s, teen, and adult membership sales
Member Service and Retention
- Build positive relationships with members, parents, students, and coaching staff
- Help new members feel comfortable and connected during their first several weeks
- Respond to member questions and concerns professionally
- Contact members with past-due balances in a respectful and solution-focused manner
- Monitor attendance and identify members who may need additional support or follow-up
- Assist with membership changes, cancellations, freezes, and account questions
- Help maintain a welcoming, professional, and community-focused gym culture
Gym Operations and Administration
- Oversee daily front desk and administrative operations
- Process payments and retail purchases
- Maintain accurate member and sales records
- Use QuickBooks to assist with bookkeeping, payment tracking, and financial recordkeeping
- Prepare handouts, enrollment materials, attendance sheets, and materials for children’s classes
- Communicate effectively with gym owners, coaches, staff members, and families
- Help develop and maintain clear operational systems and procedures
- Ensure that daily opening, closing, and facility checklists are completed
Key Performance Indicators
- Understand and track key performance indicators related to gym performance
- Monitor leads, appointments, private introductory lessons, enrollments, conversion rates, attendance, retention, cancellations, and past-due accounts
- Prepare regular reports for ownership
- Identify areas where the gym is performing well and where improvement is needed
- Use data to recommend changes to scheduling, staffing, sales follow-up, and member services
- Evaluate whether current class offerings are meeting member demand
Class and Schedule Evaluation
- Monitor class attendance and class sizes
- Identify classes that are consistently full, underused, or growing
- Communicate with ownership and coaching staff about scheduling needs
- Recommend when additional classes, coaches, or program options may be needed
- Help ensure that class schedules appropriately serve children, teens, adults, and families
- Observe the member experience and identify opportunities to improve gym programs
Inventory and Retail Management
- Manage inventory for apparel, training gear, beverages, equipment, and other retail products
- Conduct regular physical inventory counts
- Enter and update inventory information in Shopify
- Monitor stock levels and identify products that need to be reordered
- Prepare and submit order requests for approval
- Receive, organize, price, and display new merchandise
- Help identify inventory discrepancies, damaged products, or potential loss
- Maintain an organized and professional retail area
Facility Cleanliness and Organization
- Maintain a clean, organized, and professional gym environment
- Clean and disinfect shared training equipment, including gym gloves
- Clean and disinfect mats as needed
- Keep the front desk, lobby, retail area, bathrooms, storage spaces, and common areas organized
- Restock cleaning supplies, paper products, and other facility necessities
- Identify maintenance concerns and communicate repair needs to ownership
- Ensure that cleanliness and safety standards are consistently followed
Martial Arts Training Expectations
Previous experience in Brazilian Jiu Jitsu, Striking, or another martial art is a bonus, but not required.
The Gym Manager must develop enough practical knowledge of BJJ and Striking to confidently explain our programs, conduct introductory private lessons, answer common questions, and help prospective students understand what to expect.
The ideal candidate will be comfortable participating in classes and continuing to develop their knowledge of the gym’s training methods, culture, and curriculum.

The ideal Gym Manager:
- Is personable, approachable, and confident speaking with both adults and children
- Has strong sales, customer-service, and communication skills
- Understands the importance of both member acquisition and member retention
- Is comfortable conducting private introductory lessons
- Has experience with Brazilian Jiu Jitsu, Striking, fitness, martial arts, or a willingness to learn and train consistently
- Understands key performance indicators and can use data to make operational recommendations
- Has experience with QuickBooks or is able to learn it quickly
- Has experience with Shopify, retail inventory, or point-of-sale systems
- Is organized, dependable, and attentive to detail
- Can prioritize tasks and work independently
- Is comfortable having respectful conversations about payments and past-due accounts
- Is willing to clean, organize, restock, and assist wherever needed
- Can balance leadership responsibilities with routine daily tasks
- Takes initiative and looks for solutions rather than waiting to be told what to do
- Is committed to creating a positive experience for members, families, coaches, and guests
Preferred Qualifications
- Previous management or supervisory experience
- Experience working in a gym, martial arts academy, fitness facility, or membership-based business
- Experience in sales, customer service, administration, or hospitality
- Experience working with children and families
- Familiarity with QuickBooks
- Familiarity with Shopify
- Experience tracking business metrics or key performance indicators
- Brazilian Jiu Jitsu or Striking experience
- CPR, first-aid, or other relevant safety certifications
Physical and Scheduling Requirements
- Available to work Monday through Friday from 1:00–9:00 p.m.
- Able to stand, walk, bend, clean, and move throughout the facility during the workday
- Able to lift and move merchandise, training equipment, and supplies
- Willing to participate in Brazilian Jiu Jitsu and Striking training
- Available for occasional special events, seminars, promotions, or schedule adjustments with advance notice
