About the Role
We are seeking a highly organized, detail-oriented Office Manager / Front Desk Coordinator who thrives in a fast-paced medical environment and excels at multitasking. This role is ideal for someone who can seamlessly balance patient-facing responsibilities with behind-the-scenes office operations—often at the same time—while maintaining professionalism, accuracy, and a calm presence.
You will serve as the central hub of the practice, managing competing priorities and ensuring smooth daily workflow for patients, providers, and staff.
Key Responsibilities
Front Desk & Patient Coordination
- Greet and assist patients while simultaneously managing phone calls, scheduling, and walk-in needs
- Answer high-volume calls, respond to patient questions, and manage appointment changes in real time
- Verify patient information and insurance while maintaining efficient patient flow
- Communicate clearly and compassionately with a diverse patient population
- Handle sensitive situations with discretion, empathy, and professionalism
- Maintain HIPAA compliance in a busy, shared workspace
Office Management & Operational Multitasking
- Oversee daily office operations while supporting front desk coverage
- Manage office and medical supply inventory without disrupting patient-facing duties
- Coordinate vendors, labs, and facility needs while prioritizing clinical workflow
- Support providers and staff with administrative needs in real time
- Track tasks, deadlines, and follow-ups across multiple systems and stakeholders
- Identify workflow bottlenecks and proactively problem-solve

Qualifications
- 2+ years of experience in a medical office or healthcare administrative role
- Proven ability to multitask in a high-volume, patient-facing environment
- Strong organizational, time-management, and prioritization skills
- Comfort using EHR systems, scheduling tools, and standard office software
- Clear, confident communication skills under pressure
Bilingual Preferred
- Bilingual (English/Spanish) strongly preferred to support effective communication with our patient population
Preferred (Not Required)
- Experience managing front desk operations in a busy clinic
- Familiarity with insurance verification, referrals, or prior authorizations
Experience supporting multiple providers simultaneously
