Seasons of Serenity is AcadianaCares' substance use disorder treatment program, providing compassionate, evidence-based recovery services to individuals and families across the Acadiana region. As part of AcadianaCares — a nonprofit that has served Louisiana for 40 years — we meet people where they are and walk alongside them through every stage of recovery.
We are seeking a compassionate and detail-oriented Admissions Coordinator to join our team. The Admissions Coordinator is often the first person a prospective client and their family will meet and plays a critical role in welcoming individuals into care and guiding them through the admissions process — ensuring they feel supported, respected, and informed as they begin their recovery journey. This position requires excellent communication skills, a strong understanding of substance use disorder treatment services, and a genuine desire to help individuals and families in need.
Duties
Intake and Admissions
- Serve as the primary point of contact for prospective clients and their families, providing accurate and empathetic information about the admissions process and treatment programs.
- Conduct initial phone screenings and assessments to determine eligibility and readiness for admission.
- Collaborate with clinical staff to review client information and ensure appropriate placement within the program, including matching to the appropriate ASAM level of care.
Coordination and Scheduling
- Coordinate admission dates and ensure all required documentation is completed prior to arrival.
- Work closely with the insurance verification team to confirm coverage and explain financial responsibilities to clients and families.
- Partner with the utilization review team to keep clients' insurance information current with payers as it pertains to their stay.
- Schedule assessments and intake appointments while maintaining efficient communication across all relevant departments.
Communication and Support
- Provide emotional support and reassurance to prospective clients and their families during the admission process.
- Maintain consistent and professional communication with referral sources, external providers, and internal staff.
- Address concerns and answer questions related to treatment plans, facility policies, and available resources.
Data and Documentation
- Accurately record and maintain detailed client records in the admissions database.
- Track inquiries, referrals, and admissions metrics to support reporting and process improvement.
- Ensure compliance with HIPAA, 42 CFR Part 2, and all confidentiality standards throughout the admissions process.
Qualifications
Required
- High school diploma or equivalent required; associate's or bachelor's degree in social work, human services, psychology, or a related field preferred.
- Prior experience in admissions, intake, care coordination, or a client-facing role, preferably within a behavioral health, substance use disorder, or healthcare setting.
- Working knowledge of insurance verification and benefits, with the ability to explain coverage clearly to clients and families.
- Excellent verbal and written communication and interpersonal skills.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
- Proficiency with electronic health records (EHR) systems and standard office software.
- Understanding of HIPAA and 42 CFR Part 2 confidentiality requirements for substance use disorder records.
Preferred
- Familiarity with ASAM criteria and levels of care.
- Knowledge of Louisiana Medicaid and managed care organization (MCO) processes.
- Personal or professional connection to recovery communities.
Pay: $15.00 - $17.00 per hour
