About the Role
The Receptionist & Membership Secretary provides warm, organized, and attentive front desk coverage for Sunday and weekday morning operations. This position serves as a primary point of welcome for members, guests, volunteers, vendors, and staff while also supporting accurate membership records, guest data, transfer letters, and worship metrics.
General Receptionist Responsibilities
- Warmly greet people as they enter the church building and direct them appropriately.
- Keep the front desk clean, organized, and free from trash and clutter.
- Answer the phone and assist callers with questions, transferring calls when appropriate.
- Know when to transfer calls and who to transfer them to.
- Ensure lights are appropriately turned on and off.
- Sort and distribute mail appropriately.
- Notify staff members by email when packages have arrived.
- Care for plants in the welcome area.
- Fold bulletins for memorials and choir music as needed.
- Manage key access for approved individuals.
- Maintain a calm, helpful, and engaged presence at the front desk.
- Report concerns, needs, and building issues to the Director of Hospitality.
Sunday Responsibilities
- Arrive promptly at 8:00 a.m. on Sunday mornings to ensure the building is ready to open by 8:30 a.m.
- Cover the front desk during Sunday morning and afternoon programming.
- Keep up with Sunday details, including meetings, meeting rooms, and food orders.
- Be present during food deliveries to sign for deliveries and ensure the correct food has been delivered.
- Get to know members and guests in the Atrium, helping people feel welcome to FUMC Dallas.
- Answer questions regarding upcoming programming or church information.
- When unable to answer a question, direct people to the appropriate staff person.
- Take notes from Sunday interactions and needs in order to follow up on Monday.
- Maintain a calm, non-anxious, and engaged presence in a fast-paced environment.
- Support hospitality volunteers, including greeters, care team members, and medical team members.
- Speak to and engage with new people as they approach the welcome desk.
- Collect guest information for follow up.
- Provide hands-on support as needed.
- Assist the Director of Hospitality as needed.
Membership Secretary Responsibilities
- Utilize Subsplash to ensure member and guest data is accurate and up to date.
- Enter new guests and members into the database.
- Maintain clean database records that are free from avoidable errors.
- Process member births, confirmations, deaths, and transfers.
- Receive and mail transfer letters from and to other churches.
- Enter transfer information into the church database.
- Coordinate with the Director of Hospitality to send transfer letters as needed.
- Enter worship metrics from online services.
- Coordinate check-in statistics with worship metrics.
- Work with staff members to ensure worship metrics are documented in a timely manner.
Required Qualifications
- Warm, welcoming, and professional presence.
- Strong attention to detail.
- Ability to remain calm and engaged in a busy environment.
- Reliable and punctual.
- Comfortable learning and using church database systems.
- Able to communicate clearly with staff, members, guests, and volunteers.
- Must complete a background check.
- Must be Ministry Safe certified before beginning employment.
What We Offer
- Status: Part-Time
- Hours: 29.25 hours/week
- Schedule: Sunday 8:00 a.m.–4:00 p.m.; Monday–Friday 6:45 a.m.–11:00 a.m.
