We are a busy, well-established acupuncture and wellness clinic seeking a dynamic and organized Patient Coordinator and Receptionist to join our healthcare team. This position is for approximately 30 hours per week. In this vital role, you will serve as the first point of contact for patients and visitors, ensuring a welcoming environment while managing essential administrative tasks.
This is a key role within our practice and goes beyond traditional front desk duties—it requires someone who is organized, detail-oriented, and confident communicating with patients about scheduling, payments, and insurance benefits. The Patient Coordinator will be responsible for managing appointments, verifying insurance benefits, collecting payments, and ensuring patients clearly understand their care and financial responsibilities. Duties
- Greet patients and visitors warmly, providing excellent customer service while managing check-in and check-out processes
- Schedule appointments efficiently using EMR (Electronic Medical Records) systems.
- Verify insurance coverage and perform insurance eligibility verification to ensure smooth billing processes. This may include calling insurance companies to confirm patient insurance benefits.
- Collect and process payments, including medical collections when applicable, maintaining accurate financial records
- Manage phone calls and emails with professional etiquette to answer inquiries appropriately.
- Maintain accurate medical records, update patient information, and review documentation for completeness and compliance with HIPAA regulations
- Assist with medical documentation review, CPT coding, ICD-9/10 coding, and billing support to ensure proper care documentation and reimbursement
- Support clinic operations by managing office supplies, filing medical records, and coordinating with clinical staff for smooth workflow
Qualifications
- Proven experience in a medical office setting or healthcare environment with strong clerical skills
- Knowledge of medical terminology, ICD-9/10 coding standards, CPT coding, and insurance verification processes
- Excellent computer skills with proficiency in using apple products including iPhone, iPads and iMac operating systems.
- Strong organizational skills with attention to detail in documentation review and data entry
- Exceptional customer service abilities combined with professional phone etiquette and communication skills
- Ability to handle sensitive patient information in compliance with HIPAA regulations
- Bilingual skills are highly desirable to serve diverse patient populations
- Previous experience in dental or medical clinic environments is preferred but not required.
Compensation & Benefits
- Starting pay: $24/hour during training
- After 90-day review: $25–$26/hour based on performance
- Paid vacation and IRA matching available after initial trial period
