Business Office Manager Responsibilities
As the Business Office Manager, you will oversee the daily financial and administrative functions of the facility while ensuring accurate billing, timely collections, regulatory compliance, and exceptional service to residents and families.
Responsibilities include:
- Manage resident billing and accounts receivable for Medicare, Medicaid, managed care, private pay, and other applicable payer sources.
- Monitor outstanding accounts receivable and ensure timely follow-up and collection from all payer sources.
- Maintain resident trust fund accounts, including deposits, withdrawals, reconciliations, and payments made on behalf of residents.
- Process resident-related medical expenses accurately and in a timely manner.
- Maintain accurate resident financial records, account balances, and supporting documentation.
- Assist residents and families with billing questions, account information, financial documentation, and other business office inquiries.
- Work collaboratively with residents, families, insurance providers, government agencies, and other third-party payers to resolve billing and payment issues.
- Maintain knowledge of Medicare, Medicaid, Medical Assistance, managed care, private pay, and other applicable billing requirements.
- Prepare financial reports and maintain organized business office records and documentation.
- Collaborate with admissions, nursing, social services, personal care, and corporate departments to ensure accurate resident demographic, insurance, and financial information.
- Maintain resident financial information in accordance with HIPAA, confidentiality requirements, and organizational policies.
- Ensure business office practices comply with applicable federal and state regulations and facility policies.
- Perform additional business office and administrative duties as assigned.
Qualifications
- Previous business office experience in a skilled nursing facility, long-term care, personal care, or similar healthcare setting required.
- Previous Business Office Manager experience in a skilled nursing or long-term care setting strongly preferred.
- Knowledge of Medicare, Medicaid, managed care, private pay billing, accounts receivable, collections, and Medical Assistance programs.
- Experience managing resident accounts and working with multiple healthcare payer sources.
- Associate degree in Accounting, Business Administration, Finance, or a related field preferred; equivalent relevant experience will be considered.
- High school diploma or GED required.
- Minimum of two (2) years of bookkeeping, billing, accounts receivable, or business office experience in a healthcare setting preferred.
- Proficiency in Microsoft Word, Excel, Outlook, and other business office software.
- Strong organizational, analytical, communication, and customer service skills.
- Ability to manage multiple priorities while maintaining accuracy, professionalism, and confidentiality.
- Ability to communicate effectively and compassionately with residents, families, coworkers, and external payer representatives.
