Job Summary
We are seeking a highly organized and detail-oriented Administrative & Construction Project Coordinator to support daily office operations and assist with project coordination. This role is ideal for someone who can effectively manage multiple priorities, communicate clearly, and ensure both administrative and production tasks are completed efficiently.
Responsibilities:
- Manage incoming calls, emails, and day-to-day office communications
- Maintain organized electronic filing systems for contracts, permits, invoices, expenses and project documents
- Provide administrative support to field-based employees/subcontractors
- Field time reporting and editing through Contractor Foreman software
- Track vendor compliance, including Certificates of Insurance (COIs) and required documentation
- Update documentation/COI requirements within the municipality websites and portals
- Support project managers with scheduling, coordination, and administrative tasks
- Send bid invitations and assist with subcontractor/vendor outreach
- Managing permitting processes, including application submission, tracking, and approvals
- Maintain and update project documentation as needed
- Gather material estimates, coordinate purchasing, and issue purchase orders
- Utilize Construction Software such as Contractor Foreman
- This role supports and reports directly to Project Manager
Qualifications:
- Previous experience in administrative support, project construction coordination, and permitting
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
- Proficiency in Microsoft Office, Adobe and email management systems
- Knowledge of Contractor Foreman software or similar is required
- Ability to work independently and as part of a team
- Ability to thrive in a fast-paced environment
- Attention to detail and problem-solving mindset

This position is in person, Monday through Friday 8am -4pm.
Pay: $55,000.00 - $65,000.00 per year
