California KiDDS Pediatric Dentistry is is looking for a full-time Scheduling Coordinator/Receptionist. Candidates must have excellent customer service people skills, be upbeat with a positive attitude, be detail oriented, and work well with children and adults.
This is a full-time position Monday-Friday. Shift assignment(s) could be assigned 8am-5pm or 7:30am-4:30pm. Benefits include paid time off, vacation pay, paid holidays, paid sick leave, medical, dental, and vision options, and 401k plan.

A Dental Scheduling Coordinator manages the daily appointment flow, optimizes provider productivity, and handles patient communication to ensure a full, efficient schedule.
- Warmly greets visitors, patients, and vendors entering the practice and alerts appropriate staff of patient arrivals in a timely manner.
- Answers multi-line telephone, routes calls, provides information, and takes messages in accordance with practice procedures.
- Schedules and adjusts patient appointments to maximize the patient care.
- Establishes, maintains and keeps patient files and records up to date (i.e. address, phone number, insurance information, etc.).
- Communicates with patients regarding financial options according to financial protocol.
- Reconciles financial records by receiving and recording patient payments.
- Prepares correspondence, memos, referral letters, and other documents, as requested by the doctor.
- Uses computer or fax to transmit information or documents when requested.
- Keeps the front desk and reception areas clean.
- Organizes play area/books/games/toys to keep current and neat.
- Calls patients the day before to remind them of a scheduled appointment time, or monitors the automatic communication system and maintains accuracy.
- Adheres to all safety and health regulations.
- Monitors the schedule regularly, adjusts the schedule as necessary, and reschedules patients as needed.
- Keeps staff and doctor informed of scheduling problems, issues or concerns
- Registers new patients, provides necessary paperwork (welcome letter, HIPAA documents), and ensures all required documents are completed by the patient.
- Utilized Recare Protocol to reactivate patients into the recare system.
- Handling paperwork, filing, and managing patient records
- Prepare consent forms and supplemental forms for hygiene and non-restorative appointments.
- Ensures that medical histories and other data is updated in the patient record
- Uses good judgment, tact, diplomacy, and proper etiquette at all times
- Maintains a professional and enthusiastic image
- Ensures out-going mail is properly prepared and picked up as anticipated
- Responds to routine questions and provides general information
- Contribute to a safe, professional, and hygienic environment by performing intermittent cleaning tasks and waste disposal as needed.
- Follow and demonstrate commitment to the California KiDDS Pediatric Dentistry policies, professional expectations, and service standards.

Pay: $17.00 - $20.00 per hour
