4Ever Young Anti-Aging Solutions is seeking an energetic, personable, and motivated Certified Medical Assistant (CMA) / Front Desk Coordinator to join our growing team. Position ResponsibilitiesPatient Experience & Front Desk
- Welcome every patient with professionalism, warmth, and enthusiasm.
- Maintain exceptional customer service standards throughout every patient interaction.
- Check patients in and out following 4Ever Young procedures.
- Maintain accurate patient records, consent forms, and medical documentation.
- Answer incoming calls, respond to inquiries, and convert new leads into scheduled consultations.
- Schedule appointments while maximizing provider efficiency.
- Educate patients on memberships, promotions, treatment packages, and financing options.
- Collect payments and reconcile daily transactions.
- Assist with patient follow-up communications and appointment confirmations.
- Help maintain weekly and monthly scheduling and lead conversion goals.
- Call leads and follow up with old leads in our CRM.
Clinical Medical Assistant Duties
- Prepare treatment rooms before each patient visit.
- Room patients and explain what they can expect during their appointment.
- Assist providers with patient interviews and medical charting.
- Perform pre-physical assessments and obtain vital signs.
- Perform phlebotomy and specimen collection as permitted by state law.
- Prepare treatment materials, medications, injectables, and IV supplies.
- Assist with IV therapy preparation and patient monitoring.
- Maintain provider efficiency by anticipating clinical needs during appointments.
Patient Education
- Become knowledgeable about all 4Ever Young services, products, and treatment options.
- Answer general patient questions regarding services and procedures.
- Educate patients on treatment plans, memberships, skincare, wellness programs, and available services.
- Help patients understand available options while always deferring medical recommendations to licensed providers.
- Serve as a positive ambassador for the 4Ever Young brand.
Sales & Practice Growth
- Build strong relationships with patients that encourage long-term retention.
- Cross-promote complementary treatments, skincare products, memberships, IV therapy, hormone optimization, and wellness services.
- Inform patients of current promotions and upcoming events.
- Help create organic social media content including photos, videos, behind-the-scenes content, and patient success stories (with proper consent).
- Participate in community outreach events, open houses, and promotional events.
Daily Operations
- Maintain treatment rooms, IV lounge, reception area, and medical supply rooms to 4Ever Young brand standards.
- Ensure rooms remain clean, organized, fully stocked, and patient-ready.
- Monitor inventory levels and assist with ordering medical supplies, skincare products, office supplies, and IV vitamins.
- Help maintain a welcoming office atmosphere including cleanliness, music, lighting, scent, and overall presentation.
- Assist wherever needed to support smooth daily clinic operations.
Compliance
- Follow all HIPAA guidelines and maintain patient confidentiality.
- Adhere to all OSHA and infection control standards.
- Follow all medical compliance policies.
- Never diagnose patients, recommend prescription medications, or provide medical advice outside the scope of your certification.
- Maintain current Medical Assistant certification throughout employment.
QualificationsPreferred
- Certified Medical Assistant (CMA)
- Experience working in a medical spa, dermatology, plastic surgery, aesthetics, wellness clinic, or similar healthcare setting
- Experience with electronic medical records (EMR)
- Phlebotomy experience
- Experience with IV therapy
- Familiarity with aesthetic procedures including neurotoxins, dermal fillers, laser treatments, skincare, hormone optimization, and medical weight loss
- Previous reception or front desk experience
