About the Position
We are a long-established, family-owned business seeking an experienced, highly organized, and trustworthy Family Office Manager / Private Financial Manager to work directly with ownership and assist in managing a diverse portfolio of personal and business financial interests.
This is a unique, long-term position for someone with a strong accounting and financial-management background who enjoys working directly with business owners rather than within a traditional corporate accounting environment.
The position will primarily support the owner and his personal business interests, including multiple real estate holdings, LLCs and entities, private loans, investments, partnerships, banking relationships, budgets, and active business and real-estate transactions.
Our company has an established internal accounting department that handles the majority of company payroll, accounts payable, and accounts receivable. This position is therefore focused primarily on family-office financial management, private financial administration, real estate, investments, and owner support, while coordinating with the company's accounting team when necessary.
The successful candidate will become a highly trusted financial and administrative resource to ownership and will have access to confidential personal, business, and financial information. Integrity, discretion, organization, and attention to detail are essential.
Primary ResponsibilitiesPersonal & Family Financial Management
- Manage and maintain accurate records for personal and entity bank accounts.
- Monitor cash balances, upcoming obligations, and financial activity.
- Prepare and maintain personal and entity budgets.
- Develop short- and long-term cash-flow forecasts.
- Track recurring payments, credit cards, loans, and other financial obligations.
- Maintain organized financial records and supporting documentation.
- Assist ownership with financial paperwork, applications, signatures, and other administrative needs.
- Maintain calendars and tracking systems for important financial deadlines.
Real Estate & Property Financial Management
- Maintain financial records for multiple personally owned and entity-owned properties.
- Track rental income, tenant payments, and outstanding receivables.
- Track mortgages, property taxes, insurance, utilities, and other property expenses.
- Maintain property and lease information.
- Assist with financial administration related to property purchases, sales, refinances, and development projects.
- Coordinate documentation with lenders, brokers, attorneys, CPAs, and other professionals.
Private Loans & Financing
- Maintain detailed schedules of private loans made by ownership.
- Track principal balances, interest, payments, maturity dates, and outstanding amounts.
- Monitor payments due to ownership and identify delinquent or missing payments.
- Maintain records of loans and financing obligations owed by ownership or related entities.
- Organize promissory notes, loan documents, guarantees, and related financial records.
- Assist with new loans, refinances, lines of credit, and other financing transactions.
Investments, Partnerships & Business Interests
- Maintain organized records of private investments, partnerships, LLCs, and joint ventures.
- Track ownership interests, investment contributions, distributions, and funding commitments.
- Assist with financial administration related to new investments and business opportunities.
- Track important deadlines, deposits, capital requirements, and closing dates.
- Maintain supporting agreements and documentation.
- Coordinate information between ownership, business partners, attorneys, CPAs, banks, lenders, and investment professionals.
Financial Reporting & Organization
- Prepare clear monthly financial summaries for ownership.
- Maintain consolidated schedules of assets, liabilities, loans, properties, investments, and cash positions.
- Assist with budgeting and cash-flow planning.
- Organize financial information for CPA and tax preparation.
- Maintain accurate electronic and physical filing systems.
- Develop and maintain processes and procedures so important financial responsibilities and deadlines are documented and repeatable.
Business & Executive Support
- Work directly with ownership on active business, investment, and real-estate transactions.
- Assist with gathering financial information requested by banks, lenders, attorneys, CPAs, and business partners.
- Coordinate with Rainier View Plumbing & Rooter's internal accounting and management teams when personal and company financial matters overlap.
- Track open items and follow up with outside professionals to ensure transactions continue moving forward.
- Assist ownership with confidential administrative and financial matters as needed.
Qualifications Required
- 7+ years of accounting, bookkeeping, controller, financial-management, family-office, or private-client accounting experience.
- Strong understanding of accounting fundamentals, bank reconciliations, budgeting, cash-flow management, and financial reporting.
- Experience working with multiple bank accounts and/or legal entities.
- Strong Microsoft Excel skills.
- Experience with QuickBooks or comparable accounting software.
- Strong organizational and document-management skills.
- Ability to independently manage multiple projects, transactions, and deadlines.
- Excellent written and verbal communication skills.
- Comfortable working directly with business owners and outside professional advisors.
- Exceptional attention to detail.
- Demonstrated discretion when handling confidential financial information.
- Strong professional references.
Highly Preferred
- Previous family-office or high-net-worth private-client accounting experience.
- Controller, Accounting Manager, Senior Accountant, or similar experience.
- Real-estate accounting or investment-property experience.
- Experience working with multiple LLCs and partnerships.
- Experience tracking private loans or promissory notes.
- Experience with real-estate purchases, sales, and financing transactions.
- Experience coordinating with CPAs, attorneys, bankers, lenders, and investment advisors.
- Bachelor's degree in Accounting, Finance, Business, or related field.
- CPA or other accounting credential is a plus but not required.

We are looking for someone who can understand the bigger financial picture while still being willing and able to handle the details.
You should be the type of person who notices when a payment has not arrived, knows a loan maturity date is approaching, follows up when paperwork is missing, keeps multiple transactions organized, and makes sure ownership knows what requires attention before it becomes a problem.
You must be comfortable working in an entrepreneurial, family-business environment where priorities can change quickly and where real estate, investments, operating businesses, financing, and personal financial matters frequently overlap.

Compensation & Benefits
