HYDBRID SCHEDULE : 3 days in office,with Wednesday mandatory each week.
Hours : slightly flexible, but core office hours you MUST be in office are 9am to 4pm
Summary of job:
The Senior Administrative Assistant – Human Resources provides high-level administrative and
operational support to the HR function, with a strong emphasis on recruiting coordination. This role
partners closely with HR leadership and hiring managers to support end-to-end recruiting activities,
ensuring seamless and professional candidate experience. Key responsibilities include preparing
documents, presentations, and executive-level reports; coordinating interview logistics; and supporting
HR projects and initiatives of small to moderate scope and complexity. The role also ensures accuracy
and efficiency in HR processes, maintaining confidentiality and compliance with organizational
standards. The ideal candidate is highly organized, detail-oriented, and adept at managing multiple
priorities in a fast-paced environment while maintaining professionalism and discretion.
*ROLE AND RESPONSIBILITIES
- Performs administrative duties to ensure efficient office operations. Provides a bridge for
smooth communications with the executive office as well as with all other departments within
AH.
- Perform word processing and desktop publishing to include presentations, spreadsheet and
graphs, transcribe information of a sensitive nature; may be required to take meeting and/or
conference call minutes.
- Manages an extremely active calendar of appointments, completes expense reports,
comprises and prepares correspondence that is sometimes highly confidential; may plan
itineraries, agendas and events, as well as coordinate travel arrangements.
- Review and edit material to ensure accuracy, neatness, correct punctuation and grammar;
recommend changes to improve readability and clarity.
- Obtains equipment, services, and supplies needed by the department by maintaining office
supplies, purchases, and determining the appropriate method to pay for goods or services
purchased by the department following AH policy and procedures and utilizing the appropriate
process.
- Research, compile and summarize information to formulate correspondence (emails and/or
letters) and respond to various inquiries from internal and external customers.
- Screen mail and callers, respond to and route inquiries to appropriate personnel, prioritize
importance of various issues and determine which major issues should be brought to the
attention of the department head and/or department members.
- Prepare interview materials, coordinate logistics (in-person/virtual), and ensure a seamless
candidate experience.
- Serve as primary point of contact for candidates, ensuring professional and timely experience
throughout the hiring process.
- Support onboarding coordination including new hire paperwork, orientation scheduling, and
system access.
- Assist with job postings across job boards, social media, and internal career sites to attract
diverse talent.
- Maintain and audit new hire folders, ensuring all onboarding documentation is complete,
properly filed, and compliant with policies and record retention standards
*KNOWLEDGE AND SKILL REQUIREMENTS
Education and Experience:
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred (or
equivalent experience)
- 3–5+ years of progressive administrative experience within Human Resources, with
demonstrated exposure to recruitment coordination
- Hands-on experience supporting full-cycle recruiting activities, including scheduling interviews,
managing candidate communications, and maintaining applicant tracking systems (ATS)
- Proven ability to manage high-volume scheduling, coordinate logistics, and maintain accurate
recruiting records and documentation
- Experience supporting onboarding processes, including offer preparation and new hire
documentation
- Familiarity with HR systems (HRIS) and recruiting platforms (e.g., Workday, Taleo, or similar
ATS tools)

- Must be able to interface comfortably and professionally with all levels of employees and
executives.
- Experience handling confidential matters with discretion and tact.
- Requires deep functional knowledge of corporate operations.
- Ability to fully execute assignments with high degree of accuracy and exercise good judgement
in a variety of situations.
