POSITION SUMMARY
Provides support to Practice Manager and COO with the daily management of branch location by providing on-site support for 2 dermatology providers per day.
Includes direct supervision of 3 front office staff. This is a working administrative, non-clinical position with varied responsibilities including training and managing workflows of front office staff, communicating with other department managers and providers to ensure policies and procedures are handled consistently among all office locations and handling patient and staff concerns in the branch office location.
Position does not include any clinical duties or direct supervision of clinical staff.
SUMMARY OF ESSENTIAL FUNCTIONS
- In coordination with the Practice Manager, recruits, hires, terminates and trains front office staff as required to assure efficient and effective office work flow in branch office
- Establishes duties and schedules for front office employees in branch location.
- Manages time clock and personnel files for front office employees in branch location.
- Performs employee evaluations of 3 front office staff who report directly. Counsels employees and conducts correction actions and/or performance improvement plans as needed.
- Performs regular duties of front office staff on a regular basis. Covers for front office staff absences and vacations.
- Monitors provider schedules for branch location to optimize patient access
- Meets/communicates with COO and Practice Manager, as needed to determine branch office needs.
- Informs and educates branch office patients and staff on any office policies or communications received from main office and other departments.
- Minimizes office overhead expenses, including staff expenses by appropriately managing needs/resources of branch office
- Oversees daily balancing of charges/payments and other end of day procedures
- In conjunction with COO, manages and schedules required maintenance for physical branch office location including but not limited to janitorial services, landscaping services, pest control services and snow removal.
- Handles patient and other office correspondence as needed and in timely manner.
- Assures good relations with branch office patients and referring physicians
- Responds timely to all patient complaints
- Assures adequate consistent policies are in place in conjunction with Practice Manager and COO
High school diploma or GED required
EXPERIENCE
- Minimum of 3 years’ experience in customer service setting
- Previous supervisory/management experience, preferably within the medical field
- Medical Software experience

- Excellent customer service skills required to handle patient concerns
- Ability to deal effectively with staff and patients
- Ability to multi-task
- Ability to work with minimal supervision
