- Manage and process client billing and invoicing in a timely and accurate manner
- Assist with general accounting duties, including data entry, account reconciliation, and file maintenance
- Active ownership of accounts receivable functions, including following up on outstanding payments
- Provide administrative support to the accounting, sales, production, and operations teams
- Assist with payroll processing and timekeeping reviews as needed
- Organize and maintain digital and physical files and records
- Prepare reports and spreadsheets for internal tracking and analysis
- Answer and direct phone calls, take messages, and handle inquiries
- Communicate professionally with clients, vendors, and team members
- Support with general office tasks and assist other departments as needed
- Perform other administrative and financial support tasks as assigned
- High school diploma or equivalent; additional certification or training in office administration is a plus.
- Experience with billing and payroll
- Ability to assist with scheduling
- Experience as an administrative assistant or in a similar role.
- Proficient in using MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Attention to detail and problem-solving skills.
- Ability to handle confidential information with discretion.
- Professional and friendly demeanor with the ability to interact effectively with individuals at all levels.
- Proficiency in both English and Spanish is preferred
Schedule: Monday – Friday
Pay: $18.00 - $21.00 per hour
Position requires a drug test be completed, contingent upon employment, and a background check if applicable.
