We are seeking a detail-oriented and organized Administrative Specialist to support Payroll, Insurance, Risk Management, and Safety operations within a fast-paced professional environment. This position provides direct support to departmental leadership and serves as a key contact for employees, insurance representatives, medical providers, and third-party administrators.
Key Responsibilities
- Provide administrative support for Payroll & Insurance Services operations
- Process invoices, requisitions, departmental payments, and budget tracking
- Assist with workers’ compensation claims, OSHA reporting, and insurance documentation
- Coordinate with insurance brokers, adjusters, attorneys, and medical providers
- Maintain confidential employee payroll and benefits information
- Support district safety programs, safety training systems, and compliance reporting
- Prepare insurance applications, builder’s risk reports, and annual payroll reports
- Assist with National Board Certification supplement processing and employee communications
- Respond to employee and administrator questions regarding insurance and payroll-related matters
- Maintain accurate records, reports, and departmental files
Qualifications
- Associate or Bachelor’s degree in Business Administration, Risk Management, Human Resources, or related field preferred
- Minimum of 3 years of administrative experience in payroll, insurance, benefits, risk management, or office administration
- Strong organizational skills and attention to detail
- Ability to handle sensitive and confidential information professionally
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint
- Ability to work independently and manage multiple priorities in a deadline-driven environment
Preferred Skills
- Experience with workers’ compensation or insurance claims administration
- Experience working with budgets, financial tracking, or payroll-related processes
- Strong customer service and problem-solving abilities
- Ability to collaborate effectively with multiple departments and outside agencies

Pay: $49,410.00 - $79,306.00 per year
