Position Overview
Premium Pole Barns, LLC is seeking a highly organized, motivated Project Coordinator to join our growing construction operation.
This is a high-tempo, fast-paced position responsible for helping coordinate multiple active construction projects at the same time. The Project Coordinator will serve as a central point of communication between our office, clients, project managers, subcontractors, suppliers, and local permitting authorities.
While this position will be primarily office-based, the Project Coordinator must be willing and able to visit job sites, suppliers, permitting offices, and other locations as needed.
This position requires someone who can stay organized under pressure, communicate professionally, anticipate problems, and keep numerous projects moving forward simultaneously.
Primary ResponsibilitiesProject Scheduling & Coordination
- Maintain and coordinate schedules for multiple concurrent construction projects.
- Coordinate project start dates, construction phases, subcontractors, material deliveries, inspections, and project completion timelines.
- Communicate daily with Project Managers regarding job progress, upcoming needs, scheduling changes, and potential delays.
- Adjust schedules quickly when weather, inspections, materials, subcontractors, or other circumstances affect production.
- Help ensure crews and subcontractors have what they need before arriving at a project.
Material Ordering & Logistics
- Order and schedule all necessary construction materials for multiple concurrent job sites.
- Coordinate delivery dates with suppliers, Project Managers, crews, and customers.
- Verify orders for quantities, specifications, colors, dimensions, and delivery locations.
- Track outstanding material orders and resolve shortages, incorrect orders, damaged materials, or delivery delays.
- Plan material deliveries around the construction schedule to minimize downtime.
Subcontractor Coordination
- Schedule and communicate with subcontractors for concrete, site preparation, plumbing, electrical, garage doors, insulation, and other contracted work as applicable.
- Confirm subcontractor availability and scheduling.
- Coordinate subcontractor work with our internal construction schedule.
- Follow up to ensure scheduled work is completed on time.
Client Communication
- Maintain professional communication with clients throughout the pre-construction and construction process.
- Coordinate scheduling, site access, material selections, inspections, and other project-related information.
- Keep clients informed when scheduling changes or additional information is required.
- Work with Project Managers to address client questions and project concerns promptly.
Permitting & Inspections
- Communicate with city, county, and other local permitting offices.
- Submit and track building permit applications and required documentation.
- Coordinate inspections with the appropriate authorities and Project Managers.
- Maintain organized records of permits, inspections, approvals, and project documentation.
- Follow up aggressively when permits or inspections could delay construction.
Field Responsibilities
Although this is primarily an office position, field work will be required as needed.
Field responsibilities may include:
- Visiting active job sites.
- Meeting clients for material ordering purposes or subcontractors at vendors location.
- Delivering or retrieving documents and materials.
- Visiting permitting offices or suppliers.
- Assisting Project Managers with job-site coordination when necessary.
Required Qualifications
The ideal candidate will:
- Be extremely organized and detail-oriented.
- Have basic knowledge of residential or light commercial construction.
- Understand basic construction terminology, materials, measurements, and sequencing.
- Be comfortable managing multiple projects simultaneously.
- Have excellent written and verbal communication skills.
- Be comfortable communicating with clients, subcontractors, suppliers, Project Managers, inspectors, and government offices.
- Be able to prioritize tasks without losing track of smaller details.
- Have strong computer and administrative skills.
- Be comfortable working with scheduling software, email, documents, spreadsheets, and project-management systems.
- Be dependable and capable of working independently.
- Have reliable transportation and the ability to perform occasional field work.
Construction experience is strongly preferred.
What This Position Requires
This is not a slow-paced administrative position.
Premium Pole Barns operates multiple construction projects concurrently, and priorities can change quickly throughout the day.
The successful candidate must be able to:
- Keep up with a high-volume construction schedule.
- Manage numerous phone calls, emails, schedules, orders, and deadlines simultaneously.
- Identify problems before they cause project delays.
- Follow up consistently without needing repeated direction.
- Remain organized when schedules change unexpectedly.
- Take ownership of assigned responsibilities.
- Communicate quickly when an issue could affect a project's schedule or budget.
- Work effectively under pressure while maintaining accuracy.
We are looking for someone who doesn't simply wait to be told what to do—the right person will stay ahead of the schedule and anticipate what each project needs next.
Compensation & Growth
Starting Salary: $48,000 per year
This position has the potential for increased compensation and additional responsibility as the company continues to grow and the employee demonstrates their ability to successfully manage the demands of the position.
