Responsibilities

- Handle appointment scheduling, calendar management, and coordinate meetings using productivity software such as Microsoft Office and Google Workspace.
- Perform data entry tasks with high accuracy, including filing, record keeping, and updating databases like QuickBooks or other office management tools.
- Support clerical duties such as proofreading documents, managing correspondence, and maintaining organized filing systems.
- Assist with basic bookkeeping tasks and invoice processing to support office financial operations.
- Maintain a tidy and organized front desk area while ensuring all office supplies are stocked and equipment is functioning properly.
- Provide excellent customer support by addressing inquiries via phone or email with professionalism and courtesy.
- Support additional administrative tasks such as proofing documents, managing personal assistant schedules, and assisting with special projects as needed.
Experience
- Prior experience in an office environment or as a receptionist is preferred but not required; training will be provided for the right candidate.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
- Excellent communication skills including phone etiquette; bilingual abilities are a plus.
- Experience with front desk operations in medical or dental offices is advantageous but not mandatory.
- Familiarity with data entry, clerical procedures, and basic bookkeeping enhances your suitability for this role.
- Proven ability to manage time efficiently while handling multiple responsibilities simultaneously.
