Position Summary
We are seeking a dynamic and highly organized Office & Operations Coordinator to join our team. In this vital role, you will help keep our office running smoothly while supporting operations, accounting, human resources, and customer service functions. Your organizational skills, attention to detail, and willingness to jump in wherever needed will make you an important part of our day-to-day success.

This is an entry-level position with advancement opportunities into accounting, payroll, human resources, project coordination, or operations management. We are willing to train the right candidate who demonstrates a strong work ethic, positive attitude, and eagerness to learn.
Essential Duties and Responsibilities
Office Administration
- Answer and direct incoming phone calls
- Greet customers, vendors, applicants, and visitors
- Maintain office supplies and place supply orders
- Process incoming and outgoing mail
- Assist with filing, scanning, and document management
- Support management with administrative tasks and special projects
Employee Support & Human Resources
- Assist with employee onboarding and new hire paperwork
- Coordinate employee badging and credentialing requirements
- Maintain employee records and personnel files
- Assist with unemployment claims and compliance documentation
- Support employee communications and training initiatives
Operations Support
- Assist with dispatching service technicians and crews
- Coordinate crew travel, lodging, and transportation arrangements
- Support project managers and field personnel with administrative needs
- Maintain operational records and tracking reports
Accounting & Customer Support
- Assist with payroll preparation and data entry
- Perform collection calls and follow up on outstanding invoices
- Process Certificates of Insurance (COIs)
- Assist with accounts receivable and accounts payable tasks
- Support accounting staff with data entry and record keeping

Required
- High school diploma or equivalent
- Proficiency with Microsoft Office, including Outlook, Word, and Excel
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Ability to manage multiple priorities and adapt to changing needs
- Professional attitude and strong customer service skills
- Reliable attendance and attention to detail
Preferred
- Administrative, customer service, payroll, HR, dispatch, or accounting experience
- Construction, service, or trade industry experience
- Experience with accounting or payroll software
