We are looking for an experienced, dependable, organized, and confident Administrative Assistant to become an important part of our team. This is a varied, hands-on position that supports the entire office.
You'll work with different members of the team and assist with a wide range of administrative tasks, projects, and day-to-day needs across the company. This position is a good fit for someone who likes variety, enjoys staying busy, and takes pride in getting things done.
Some days may involve administrative or accounting-related tasks, while other days may involve helping with property-related needs, organizing information, communicating with vendors or tenants, or working on a special project.
We're looking for someone who doesn't need to be micromanaged and enjoys being trusted with responsibility. The right person will have the opportunity to take ownership of their work, use their judgment, and become someone the team can rely on.
Property management experience and familiarity with AppFolio are a plus. While we would prefer someone with this experience, we are willing to train the right person who brings strong administrative skills, good judgment, and the ability to learn new systems and processes.
What You'll Do -
Front Desk & Office Support:
- Serve as the primary point of contact for tenants, owners, vendors, clients, and visitors
- Greet and communicate with people professionally and confidently, including handling difficult or uncomfortable conversations calmly
- Communicate company policies and procedures clearly while maintaining appropriate boundaries
- Answer and direct incoming phone calls and monitor voicemails
- Complete daily office opening and closing tasks
- Collect and distribute mail and prepare occasional mailings
- Complete occasional local office errands
- Help keep the office organized, professional, and running smoothly
General Administrative Support:
- Provide administrative support to team members across the company
- Assist with projects, tasks, and special assignments as needed
- Take ownership of assigned projects and follow them through to completion
- Organize information, records, documents, and files
- Adapt to changing priorities and support the team wherever needed
- Stay productive and look for ways to be helpful when priorities are completed
Property & Key Management:
- Maintain accurate tracking of property keys and lockboxes
- Manage key and lockbox check-in, check-out, and inventory
- Track company-issued equipment, including heaters, A/C units, and other temporary property items
- Monitor equipment condition and ensure items are properly checked in and out
- Maintain accurate records and follow up when items are missing or outstanding
Accounting & Administrative Support:
- Assist with administrative tasks related to Accounts Payable and Accounts Receivable
- Assist with utility bills and vendor payments
- Communicate with utility companies on behalf of tenants and owners
- Set up and update utility accounts and billing information
- Set up interim utility billing agreements for owners
- Update Google Drive and AppFolio records
- Assist with insurance audits and related documentation
- Maintain organized records for vendors, owners, and tenants

- Valid driver's license and clean driving record (MVR verification required through DMV)
- Reliable vehicle for occasional local business errands
Pay: $26.00 - $28.00 per hour
