Job Summary
We are looking for a highly organized, Office Administrator with experience in Asphalt & Concrete operations to join our team. Responsibilities
- Manage all office administration tasks, including filing, data entry, and maintaining confidential information with integrity and discretion
- Operational Support: Scheduling work with Estimators, Estimators Assistant, coordinating projects, calendars, communications between all team members and clients.
- Administrative & HR: Handle day-to-day office management, HR record-keeping, and assist with managing marketing events, ads, social media, including other efforts to help us grow our brand.
- Customer Experience: Manage high-volume incoming emails and phone calls to provide exceptional customer service to our clients from initial inquiry to project completion.
- Financial Management: Oversee full-cycle accounting, including billing, invoicing, payroll processing, insurance monitoring with semi annual evaluations and annual tax preparation.
- Supervise administrative staff and support team management efforts by providing training, guidance, and performance feedback
- Handle human resources functions such as onboarding new employees, managing payroll, and supporting employee development initiatives
- Maintain accurate bookkeeping records, including invoicing, billing, and expense tracking using accounting software and spreadsheets
- Facilitate communication between clients, vendors, subcontractors, and internal teams to ensure seamless project execution and customer satisfaction
Experience
- Must have direct experience working in the asphalt or paving & concrete industry. We need someone who understands our business, terminology, and the fast-paced nature of our work.
- High attention to detail, especially regarding scheduling, estimates, licensing, contract documentation and financial records.
- Proven experience in a multifaceted office management role.
- Strong proficiency in MAC office software and ability to manage multiple workflows simultaneously (Billing, Payroll, CRM etc.).
- Excellent communication skills with clients, & team members.
- Demonstrated supervisory experience managing teams or administrative staff effectively
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) along with experience using spreadsheets for budgeting and financial tracking
- Familiarity with QuickBooks or other financial software for payroll processing and bookkeeping tasks
- Strong organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced setting
- Excellent communication skills—both verbal and written—and professional phone etiquette for client interactions
- Experience handling confidential information with discretion is essential
- Knowledge of vendor management practices and experience coordinating with multiple stakeholders in construction projects is advantageous

Pay: $53,569.17 - $64,513.41 per year
