Job Overview
We are seeking an organized, dependable, and detail-oriented Bookkeeping & Office Administrator to support our accounting and day-to-day office operations.
This blended position combines accounts payable and bookkeeping support with purchasing and general administrative responsibilities. It is ideal for someone who enjoys variety, supporting staff, and is equally comfortable reviewing invoices and keeping an office organized.
The successful candidate will be strong with technology and adaptable to new systems and processes. As our company continues to improve its operational efficiencies, this person must be willing to learn, embrace change, and help implement more effective ways of working.
This is not a full-charge bookkeeping or payroll position. Payroll and higher-level accounting functions are handled by others.
Accounting Responsibilities
- Manage day-to-day accounts payable activities, including reviewing, organizing, and entering vendor bills and invoices.
- Retrieve invoices, receipts, and transaction records from bank, credit card, vendor, and online purchasing accounts.
- Review processed receipts and invoices for accuracy, completeness, and proper documentation.
- Verify that expenses are assigned to the correct general ledger accounts, customers, remodeling projects, and cost categories.
- Match invoices and receipts with purchase records, project documentation, and supporting materials.
- Prepare approved bills for payment and help ensure vendors are paid accurately and on schedule.
- Reconcile vendor statements and follow up on missing invoices, receipts, credits, and other documentation.
- Assist with bank and credit card reconciliations.
- Maintain organized digital and physical accounting records in Quickbooks.
- Communicate with vendors and team members to resolve billing discrepancies.
- Support the company’s external accountant.
- Protect confidential company, employee, customer, and financial information.
Office and Administrative Responsibilities
- Provide administrative support to the company principal and other members of the management team.
- Assist with purchasing materials, supplies, office items, and showroom products.
- Help maintain an organized, professional, and welcoming showroom and office.
- Answer or direct phone calls, emails, and general inquiries.
- Maintain organized electronic files, records, calendars, and office documents.
Qualifications
- Previous experience in accounts payable, bookkeeping, accounting administration, or a similar financial support role.
- Experience with QuickBooks Online
- Experience with remodeling, construction, or project management software is helpful but not required.
- Understand invoices, receipts, vendor statements, general ledger accounts, project costing, and expense coding.
- Strong technological aptitude and the ability to learn new software, systems, and processes.
- A flexible and adaptable mindset, with a willingness to embrace new procedures as the company improves its operational efficiency.
- Strong attention to detail and the ability to identify missing, duplicated, or incorrectly coded transactions.
- Excellent organizational and time-management skills.
- Ability to balance accounting responsibilities with client-facing and general office duties.
- Clear, professional written and verbal communication skills.
- Proficiency with email, spreadsheets, cloud-based file systems, and common office software.
- Ability to work independently, follow established procedures, and ask questions when information is unclear.
- Experience in remodeling, construction, design, retail, or a showroom environment is a plus.
- High school diploma or equivalent required; accounting, bookkeeping, or business coursework is preferred.
