We are seeking a structured, reliable Personal Executive Assistant to support the CEO with calendar scheduling, strategic initiatives and daily personal logistics. This role exists to protect time, reduce friction, and create predictability.

Core Responsibilities
- CEO Time Ownership
- Own the CEO’s daily and weekly schedule end-to-end
- Actively block, protect, and rebalance time
- Prevent overbooking, fragmentation, and reactive scheduling
- Maintain buffers for travel, recovery, and deep work
- Prepare a daily brief outlining priorities, meetings, and risks
- Travel and Movement Execution
- Manage all travel logistics start to finish
- Create repeatable travel templates
- Prepare pre-trip and post-trip checklists
- Coordinate packing timelines and requirements
- Monitor changes and resolve disruptions without escalation
- Information Control
- Serve as the first filter for incoming requests
- Triage messages into act, delegate, defer, or decline
- Prepare decision-ready summaries
- Draft responses when appropriate
- Maintain clarity between urgent and important
- Personal Logistics (CEO-Only)
- Coordinate personal appointments and commitments
- Track recurring obligations and deadlines
- Maintain separation between business and personal time
- Documentation and Rhythm
- Maintain clean, searchable digital files
- Prepare agendas, notes, and summaries
- Track follow-ups tied to the CEO
- Maintain weekly cadence and reporting discipline
- Event and Presence Coordination
- Coordinate logistics for events the CEO attends
- Manage scheduling, preparation, and materials
- Hand off execution to designated owners
- Health and Wellness Coordination
- Schedule and coordinate fitness, medical, and wellness appointments
- Protect time for workouts, recovery, and health routines
- Track recurring commitments and protocols selected by the CEO
- Prepare weekly logistics to support consistency during travel
- Flag conflicts or patterns that disrupt health rhythms
Experience
- Proven supporting C-level executives in fast-paced environments.
- Demonstrated , clerical work, data entry, and customer service roles.
- Strong proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and familiarity with DocuSign for document signing workflows.
- Experience with QuickBooks for bookkeeping tasks; principles is a plus.
- Excellent organizational skills with the ability to prioritize tasks effectively while managing multiple projects simultaneously.
- Exceptional typing speed combined with transcription skills to produce accurate records efficiently.
- Skilled in event planning—from small meetings to large corporate events—and project coordination to meet deadlines seamlessly.
- Knowledge of multi-line phone systems and professional phone etiquette to handle inquiries confidently.

Pay: $85,000.00 - $110,000.00 per year
