Whole Mind is a growing and innovative outpatient mental health organization dedicated to providing compassionate, evidence-based psychiatric care. Our clinics offer medication management, Spravato (esketamine), Transcranial Magnetic Stimulation (TMS), and other mental health services in a welcoming and patient-centered environment.
We are currently seeking an experienced, dependable, and compassionate Office Manager / Medical Assistant (MA / CMA) to support the launch and growth of our new Salt Lake City clinic.
This is a unique opportunity to play a foundational role in a newly opening clinic while helping create an exceptional patient experience from day one.
This position will begin part-time during the clinic launch phase and is expected to ramp into a full-time role as patient demand increases.

Compensation
$18.00 – $25.00 per hour, based on experience
This position will begin part-time, with the opportunity to transition into a full-time benefitted position as patient volume and clinic demand increase.
Position Overview
During the initial growth phase of the Salt Lake clinic, this role will serve in a dual-capacity position, supporting both:
Clinical Operations (Medical Assistant Responsibilities)
and
Front Office / Clinic Operations (Office Manager Responsibilities)
As patient demand grows, responsibilities may evolve and expand to support clinic operations and staffing needs.

What You’ll DoClinical Responsibilities (MA / CMA)
- Prepare patients for appointments and assist providers during visits
- Take vital signs and accurately document patient information in the medical record
- Assist with and monitor advanced psychiatric treatments including TMS and Spravato (esketamine)
- Observe patients during treatment sessions and report concerns to the supervising provider
- Maintain timely and accurate clinical documentation in the EMR
- Support patient care coordination and overall clinic workflow
- Ensure a safe, supportive, and welcoming clinical environment
Office Manager / Front Office Responsibilities
- Serve as the primary front office support for the clinic during launch
- Greet patients and create a warm, welcoming experience
- Answer incoming calls and support scheduling needs
- Coordinate provider schedules and appointment flow
- Support patient intake, paperwork, and administrative workflows
- Assist with insurance verification and patient coordination as needed
- Help maintain organization, clinic readiness, and day-to-day operational support
- Work collaboratively with leadership to support clinic growth and operational success

Qualifications
- Medical Assistant (MA / CMA) certification preferred
- Prior experience working as a Medical Assistant required
- Previous front office, office management, or healthcare coordination experience strongly preferred
- Current CPR certification preferred
- Strong communication and customer service skills
- Comfortable supporting both clinical and administrative functions
- Behavioral health or psychiatric experience preferred, but not required
