Job Summary
The Medical Office Coordinator is responsible for supporting the daily operations of a busy primary care and walk-in medical practice by providing administrative assistance, coordinating patient appointments, and ensuring efficient communication between patients, healthcare providers, and clinical staff. This position plays an important role in maintaining an organized front office while delivering professional and compassionate customer service to every patient.
Key Responsibilities
- Welcome patients and visitors while maintaining a courteous and professional environment.
- Schedule, reschedule, and confirm appointments using the electronic medical record (EMR) system.
- Verify patient demographics, insurance information, and required documentation before appointments.
- Register new patients and update existing patient records accurately.
- Answer incoming phone calls, respond to appointment requests, and direct inquiries to the appropriate department.
- Coordinate patient check-in and check-out procedures to support efficient clinic workflow.
- Process referrals, authorizations, and medical record requests in accordance with practice policies.
- Collect copayments and maintain accurate financial documentation following established procedures.
- Work closely with physicians, nurses, and medical assistants to ensure timely patient care.
- Maintain confidentiality of patient information while complying with HIPAA regulations.
- Perform general administrative duties including filing, scanning, document management, and office organization.
Required Qualifications
- High school diploma or equivalent; additional healthcare administrative education is preferred.
- Previous experience in a medical office, urgent care, or primary care practice is preferred.
- Familiarity with electronic health records (EHR/EMR) systems and Microsoft Office applications.
- Strong communication, organizational, and multitasking abilities.
- Ability to work efficiently in a fast-paced clinical environment while maintaining attention to detail.
- Professional attitude with excellent customer service and problem-solving skills.
Work Environment
This position is based in a patient-focused outpatient medical clinic providing primary care and walk-in healthcare services. Employees collaborate with physicians and clinical staff in a professional healthcare setting while maintaining high standards of patient care, accuracy, confidentiality, and operational efficiency.
Pay: $3,100.00 - $4,000.00 per month
