The Event Operations & Client Experience Manager serves as a key ambassador of Zenia, bringing a hospitality-first mindset and relationship-centered approach to every interaction while creating seamless, memorable experiences for guests, vendors, and partners. This role leads events from initial planning through execution by coordinating logistics, managing vendors and operations, supporting business development efforts, and ensuring every detail reflects Zenia’s values and standards of excellence. With a warm, relational, and proactive presence, the person in this role builds trust and strong partnerships through thoughtful communication, adaptability, collaboration, and a commitment to serving others. KEY AREAS OF RESPONSIBILITIES
Essential functions of the role include, but are not limited to, the following:
Event Management, 50% of time
· Partner with clients to plan and coordinate events from concept through execution, including timelines, logistics, and venue details
· Lead site tours, guide clients through event processes, and support additional revenue through décor and bar package recommendations
· Coordinate vendors, staff, and event logistics to ensure smooth event execution from setup through teardown
· Serve as the on-site lead by managing schedules, layouts, operations, and real-time problem solving during events
· Coordinates and manages relationships with event vendors for catering, entertainment, and audiovisual requirements, ensuring seamless execution within budget and timeline constraints
· Develop comprehensive event plans, timelines, and budgets, and communicate effectively with stakeholders to align expectations and deliver successful outcomes
General Business & Administrative, 50% of time
· Implement and execute event details for the bar, including inventory, and staffing while ensuring service compliance
· Manage event financials and administrative closeout and follow-up, including invoices, payments, vendor charges, and recordkeeping
· Participating “as needed” in the event to make sure the experience is executed to plan
· Support business development efforts by building relationships, pursuing new event opportunities, and following up on leads and inquiries
· Assist with marketing initiatives, vendor partnerships, and identifying new opportunities to drive bookings and revenue growth
Staff Management, Ongoing
· Manage bar tender staffing and scheduling ensuring vendor coordination
Relationship Building & Brand Alignment, Ongoing
· Responsible for building relationships founded on trust with varying stakeholders
· Incorporates an “experience” based approach rather than transactional

IDEAL EXPERIENCE & SKILLS
· Bachelor's degree in marketing, communications, hospitality management, or related field preferred
· 3+ years of proven experience in event planning and coordination, with a track record of executing successful events from conception to completion
· Staff management experience preferred
· Exceptional organizational skills, attention to detail, and ability to manage multiple projects simultaneously under tight deadlines
· Strong interpersonal and communication skills, with the ability to collaborate effectively with diverse stakeholders and build positive relationships
· Proficiency in event management software and Microsoft Office Suite
KNOWLEDGE
· Understanding of event planning best practices, including budgeting, vendor management, and risk mitigation
· Knowledge of industry trends and emerging technologies in event management and experiential marketing

This role may require occasional lifting of up to 25 pounds and extended periods of standing during event setup and execution.

Pay: $45,000.00 - $50,000.00 per year
