Position Summary
The Office Manager / Project Coordinator plays a critical role in supporting both administrative operations and construction project workflows. This position requires a detail-oriented, self-directed professional who can manage office functions, assist with estimating and project documentation, oversee billing processes, and maintain consistent client and digital communications. This is a hybrid administrative and project support role ideal for someone comfortable working across multiple functional areas.
Key Responsibilities
Office Administration
▪ Manage daily office operations, ensuring organization and efficiency ▪ Maintain and organize project files, contracts, and documentation ▪ Coordinate calendars, meetings, and internal communications ▪ Implement and maintain administrative processes and systems
Social Media & Marketing
▪ Develop, schedule, and publish content across social media platforms ▪ Highlight company projects, milestones, and services ▪ Monitor engagement and respond to inquiries professionally ▪ Maintain brand consistency across digital channels
Project Coordination & Estimating Support
▪ Perform construction take-offs from drawings and specifications ▪ Assist in preparing accurate project estimates and proposals ▪ Support contract preparation, review, and tracking ▪ Maintain project documentation, logs, and status updates
Billing & Financial Support
▪ Prepare and issue weekly project billing and invoices ▪ Track project-related expenses and support budget oversight ▪ Coordinate with accounting to ensure timely and accurate reporting
Client & Vendor Communication
▪ Serve as a primary point of contact for client correspondence ▪ Communicate with subcontractors, vendors, and suppliers ▪ Ensure timely follow-up on all project-related communications ▪ Support relationship management and client satisfaction
Qualifications
▪ 2+ years of experience in office management, construction administration, or project coordination preferred▪ Familiarity with construction estimating, take-offs, or contracts strongly preferred ▪ Strong organizational and multitasking abilities ▪ Excellent written and verbal communication skills ▪ Proficiency in ADP, QuickBooks, Microsoft Office (Excel, Word, Outlook) ▪ Experience with social media platforms and content scheduling tools ▪ Ability to work independently and manage time effectively in a flexible schedule
Compensation
▪ Hourly Rate: $22 – $35 per hour (proportionate with experience) ▪ Opportunity for growth into expanded role and increased hours based on performance
