JOB TITLE:
Executive Assistant to the President
JOB PURPOSE:
The Executive Assistant to the President provides high-level, comprehensive administrative, operational, and strategic support to the President and the Office of the President. This role serves as a trusted partner and key liaison, ensuring the President’s priorities are advanced through effective coordination, communication, and execution.
This position operates with a high degree of autonomy, discretion, and judgment, frequently handling complex, sensitive, and confidential matters. The Executive Assistant interacts regularly with senior leadership, the Board of Trustees, faculty, staff, students, alumni, donors, and community partners, and plays a central role in facilitating institutional effectiveness and executive decision-making.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Leads projects, initiatives, and daily operations within the Office of the President, ensuring alignment with institutional priorities and strategic objectives. Provide coordination and general oversight of administrative support functions, including the scheduler and events coordination roles.
Serve as a primary liaison between the Office of the President and internal and external stakeholders, including University departments, trustees, senior leadership, and community partners; facilitate communication, resolve issues, and ensure effective collaboration.
Exercise independent judgment in researching, analyzing, and responding to complex, sensitive, and confidential inquiries. Compile, synthesize, and interpret data; prepare detailed reports, briefing materials, and documentation to support executive decision-making.
In consultation with the President, coordinate Cabinet meeting schedules and develop agendas, ensuring appropriate preparation materials and follow-up actions are completed.
Draft, review, and manage executive-level communications on behalf of the President, including correspondence, presentations, and reports. Serve as the central point of coordination for outgoing communications, ensuring clarity, accuracy, alignment with institutional messaging, and appropriate distribution.
Review and assess incoming communications, reports, and requests; determine priority, significance, and appropriate routing to ensure efficient use of the President’s time and attention.
Manage high-level visitor engagement for the President’s Office, including greeting visitors, assessing access and priority, and coordinating visits for dignitaries such as Trustees, elected officials, and other distinguished guests.
Lead collaboration with engagement and event teams to ensure coordinated support for presidential initiatives and priorities.
Oversee and maintain official files, records, and office systems for the President’s Office, ensuring confidentiality, accuracy, and compliance with institutional standards; coordinate updates to office-related web content, as applicable.
In coordination with the Executive Director & Deputy Secretary to the Board of Trustees, support the President and Cabinet in preparation for and participation in Board of Trustees meetings, including materials coordination and on-site administrative support.
Prepare high-level presentations, briefing materials, and outgoing correspondence; may represent the President at meetings, events, or outreach functions, as appropriate.
Lead and support special projects and strategic initiatives on behalf of the President, including confidential assignments, ensuring timely execution and alignment with institutional priorities.

Travel Requirements:
Occasional to moderate local, regional, and out-of-state travel may be required to support the President at meetings, conferences, Board of Trustees meetings, university events, governmental meetings, donor functions, and other official engagements. Evening and weekend travel may be required.
MINIMUM QUALIFICATIONS:
Education:
Bachelor's degree in Business Administration, Public Administration, Communications, Higher Education Administration, Organizational Leadership or a related field, or an equivalent combination of education and work experience.
Experience:
Seven years of progressively responsible executive-level administrative experience supporting senior executives or organizational leadership in a complex organization. Experience coordinating executive operations, strategic initiatives, governance activities, and confidential communications is strongly preferred.
Certifications, registrations, licensures, and other requirements for this position:

DESIRED QUALIFICATIONS:
Experience in higher education, government, or another highly regulated public-sector environment, with an understanding of shared governance, public accountability, and organizational protocols.
Demonstrated experience managing highly confidential and sensitive information requiring exceptional discretion, sound judgment, and professionalism.
Experience coordinating executive-level meetings, governing board activities, high-profile events, or complex organizational initiatives involving multiple stakeholders and competing priorities.
Experience developing executive correspondence, briefing materials, presentations, reports, and other professional communications on behalf of senior leadership.
Proficiency with enterprise productivity and collaboration technologies, including Microsoft Office 365 applications, virtual meeting platforms, document management systems, and electronic scheduling/calendar management.
Demonstrated ability to exercise exceptional judgment and political acumen.
Demonstrated ability to anticipate executive needs.
Experience managing competing priorities with minimal supervision.
