Front Office Support Secretary (Part-Time)

Summary of this position
This position reports directly to the administration team at Next STEP, a school for special education adults working on Transitioning into adulthood. The secretary also assumes clerical duties for other staff as assigned. This position supports all building business responsibilities, ordering, managing leave requests, bookkeeping and support to the administration team at Next STEP.
Qualifications
QUALIFICATIONS:

Prefer an associate’s or bachelor’s degree with one to three years of related experience.

Experience with legal and/or special education regulations, process, procedures and documentation preferred.

Self-motivated to learn and maintain a general knowledge of Special Education, including laws, regulations, policies and compliance.

Exceptional ability to write and orally communicate, including writing letters, reports, business letters, charts, and materials.
-
Ability to organize, prioritize and work independently and cooperatively, producing quality work in a timely manner.

Excellent technical skills in Microsoft Office/Google Suite applications and various data systems (Kelvin/Infinity/PowerSchool).

Strong written and verbal communication skills.
-
Demonstrated ability to work collaboratively and effectively with co-workers, staff, community agencies and the public.

Regular predictable attendance is an essential function of this position.
ESSENTIAL JOB RESPONSIBILITIES:
-
Responsible for correspondence for Next STEP administration.
-
Maintain accurate records for all building staff including leave time.
-
Assist with the ordering, inventory and monitoring of all supplies, materials and equipment for clerical, instructional and supportive programs.

Maintain student files and records
-
Prepare schedules for in-services (PD), staff orientation, and new hire on-boarding.

Manage student enrollment paperwork and student files.
-
Monitor student attendance and records for accuracy and compliance.

Process hourly timesheets and mileage expense reports.
-
Process all year-end reports, including attendance, petty cash, monthly P-card receipts, monthly gas receipts and conference expenses.

Assist in scheduling of student meetings (including IEPs), agency meetings, and parent meetings for administration and staff.

Management of Next STEP calendars (IEP scheduling, agency visits, staff absences etc.)

Management of Next STEP lunch program (Ordering & delivery, prep of lunch bags).

Management of Next STEP Vehicles (Scheduling and maintenance)

Assist the Work-based Learning team with filing of paperwork (Timesheets, Performance Elements, and Agreements.

RELATED RESPONSIBILITIES:

Assist in processing student reports and with overflow work other staff as needed.

Arrange for repair of equipment.

Process purchase orders and related reports.

Work cooperatively with staff, students, parents, local agencies and public.

Maintain confidentiality of student and staff reports.

Answer telephones, transfer calls and take messages for Next STEP administration and staff.

Compensation
Employment Date: 07-01-2026, pending Board approval and successful
completion of employee entrance drug screening and background checks.
Length of Contract: Non-union, 20 hours a week
Salary Range: $22.00 - $25.00 an hour; based on education level and experience
