The Fleet Manager is responsible for the efficient, safe, and cost-effective operation of the Grounds fleet department. This role oversees fleet maintenance, budgeting, and interdepartmental coordination while ensuring customer service expectations are consistently met or exceeded. The department currently includes four full-time employees and is expected to grow.
Key Responsibilities
Oversee maintenance and readiness of a diverse fleet including automobiles, dump trucks, loaders, diesel equipment, and grounds maintenance equipment such as Mowers, UTVs, Hand Held Equipment
Develop, manage, and continuously improve the fleet work order system (AIM), including PM schedules, repair schedules, inventory control, and work orders.
Collaborate with other departments to coordinate work order management for shared and department-specific vehicles.
Maintain safety, and OSHA compliance across all fleet operations.
Provide hands-on technical assistance when needed
Capital Equipment & Vendor Management
Coordinate acquisition of capital equipment, including estimating, outfitting, and replacement planning for vehicles and equipment.
Work directly with dealerships and vendors to obtain pricing, specifications, and delivery timelines.
Support other department managers by developing accurate vehicle and equipment cost estimates based on operational needs.
Developing inventory/work order/work flow systems.
Leadership & Human Resources
Lead, supervise, and coach mechanics and a supervisor; hire, train, discipline, and terminate staff as needed.
Conduct performance management, coaching, and counseling to maintain high engagement and accountability.
Manage scheduling, payroll coordination, and safety training programs related to equipment operation and fleet safety.
Budgeting & Administration
Develop and manage departmental budgets, including inventory tracking and cost controls.
Monitor fleet expenses and assist with cost control strategies.
Oversee daily administrative and operational activities of the fleet department.
Qualifications
Bachelor’s degree preferred,
Minimum of 3 years of relevant fleet, equipment, or operations management experience.
Proven supervisory, leadership, coaching, and team management skills.
Strong working knowledge of fleet maintenance systems; experience with AIM or similar CMMS preferred.
Mechanical aptitude with a preference for diesel and heavy equipment experience. Again, this is part of it, but not the main part.
