JOB SUMMARY
The Coordinator - Central Staffing at North Mississippi Health Services is responsible for coordinating and ensuring optimal staffing levels across the service line to maintain high-quality patient care. This role involves collaboration with various departments and their managers by analyzing staffing needs, managing schedules, staffing plans and coverage coordination, managing accurate data entry, evaluation of staffing processes, serves as an API trainer, and ensures compliance with regulatory requirements.
JOB FUNCTIONS
Coordinates Central Staffing:
- Coordination with department managers to understand and indentify staffing needs and concerns to ensure adequate coverage across all units.
- Develop and manage staff schedules, ensuring efficient allocation of resources to meet patient care demands.
- Coordinates and ensures staffing data for all inpatient units is entered accuratley and timely/in real time.
- Analyze staffing patterns, forecast needs, and provide data-driven recommendations to optimize staffing levels.
- Ensure staffing practices comply with hospital policies, labor laws, and regulatory requirements.
- Extremely comfortable and fluent with Excel.
- Prepare and submit regular reports on staffing metrics, trends, needs/adjustments to leadership.
- Ensure compliance with NMMC policy regarding staffing and safe scheduling.
- Facilitate orientation and training sessions for employees new to performing this role.
- Maintains daily shift operations in staffing office.
- Completes API Data Entry for entire inpatient areas (Nursing Services).
- Remains accountable for accurate record keeping by recording call-ins, schedule changes, sick leave, floating of staff, and low census hours in API system.
- Participates in reviewing/revising staffing processes for effective/efficient operations.
Reporting:
- 4 Week Staffing Projection Grid, SHRIN Log Report, Staffing Adjustment, 24-Hour Summary, Pre-Staffing Grids, Have/Needs Report, Employee Clocking Report, Late Schedule Change Report, Late Call in Report.
- Communicates pertinent staffing plans for future shifts with the Supervisors, Clinical Managers, and/or Charge Nurses to verify and facilitate daily staffing.
- Contacts off duty or part-time personnel to cover call-ins or vacancies.
- Facilitates phone calls and requests from various departments.
- Manages the upkeep of Service Recovery Box.
EPIC:
- Enters notification funeral home data into the Electronic Medical Record and notifying the funeral home.
Scheduling System Trainer:
- Offers training and support to department managers and employees on staffing policies, procedures, and scheduling software.
- Impromptu employee training on the current scheduling system as well as the self-scheduling App
- Assists with the implementation training of various departments and/or facilities for scheduling.
- Assists managers with daily maintenance and/or editing of schedules.
Facilitates employees with the Help Desk for employees with questions regarding current scheduling system.

Education

Work Experience
- 1-3 years. 3 years' medical/hospital or other relevant experience. Required
- 1-3 years. Data entry/organization, Record Keeping, Staffing or Scheduling related field. Required
Knowledge Skills and Abilities
- Must demonstrate excellence in verbal and written communication skills
- Must have knowledge of and demonstrate excellence in computer skills such as Word, Excel, Scheduling Software
- Must have knowledge of Staff Roles and Functions
- Must adhere to value statement as evidenced by positive public relations with visitors and co-workers
- Must have knowledge of specific staffing requirements and take initiative in calling personnel for staffing coverage
- Must work well under pressure, be attentive to detail, prioritize work and be able to multi-task
- Must be flexible to meet the multi-dynamic needs of the organization
- Must interact with Nursing Personnel: Work assignments, Communication with Staff on Schedules, Assist with Staffing Coverage
- Must interact with Hospital Personnel: Assist in Locating Employees and Communicating Routine Messages
- Must have strong organizational and time-management skills.

- Must have proficiency in staffing software and Microsoft Office Suite
- Must have analytical skills to interpret staffing data and make informed decisions
- Must have the ability to work under pressure and handle multiple tasks simultaneously.
- Must be able to work under pressure in a fast-paced environment.
