Experienced, Proactive, and Ready to Help the Team
At Health 360 Dental, we are looking for an experienced dental front desk professional who can take ownership of patient checkout, treatment plan presentation, and scheduling while also being flexible enough to support the other responsibilities of a busy dental front office.
This is intentionally a Front Desk Admin position rather than a narrowly defined job title.
Your primary responsibility will be to make sure patients leave our office understanding their treatment, their financial responsibility, and what happens next. That means confidently presenting treatment plans, answering questions, collecting payments or down payments, and getting patients scheduled for the treatment they need.
At the same time, we work as a team. You may also help answer phones, work on insurance, send electronic claims, work recall lists, fill openings in the schedule, and assist wherever your skills are needed.
We are looking for someone with dental experience who is a doer—someone who takes initiative, is open to learning, and doesn't need to wait for someone to tell them every next step.
Your Primary Responsibilities
Patient Checkout & Financial Conversations
You will be responsible for helping patients complete their visit smoothly and professionally, including:
- Checking patients out after their appointments
- Reviewing the patient's account and collecting balances and copays
- Discussing financial responsibility confidently and professionally
- Collecting required payments and down payments
- Answering patient questions regarding treatment estimates and financial arrangements
- Addressing patient concerns and helping find solutions when appropriate
- Making sure the patient understands the next step before leaving the office
Treatment Plan Presentation
A major part of this position is helping patients understand and move forward with recommended treatment.
You will:
- Create and review treatment plans
- Present treatment plans clearly and confidently
- Explain estimated insurance benefits and patient portions
- Answer financial and scheduling questions
- Help patients overcome reasonable scheduling or financial concerns
- Communicate the importance of completing recommended treatment
- Follow up with patients who do not schedule
- Maintain accurate treatment plan information in the patient's account
You should be comfortable discussing treatment fees and money with patients in a professional, compassionate, and confident manner.
Scheduling for Production
This is not simply about putting appointments on the schedule. You will help us build a productive schedule that allows our doctors and clinical team to provide the treatment our patients need.
Responsibilities include:
- Scheduling diagnosed treatment before patients leave
- Helping maintain a full and productive doctor schedule
- Identifying unscheduled treatment and following up with patients
- Filling openings and responding proactively to cancellations
- Working with the team to identify patients who can be moved forward
- Understanding the importance of scheduling higher-priority and productive treatment appropriately
- Helping reduce unused chair time and open time on the schedule
Additional Front Desk Responsibilities
Because we operate as a team, you will also be expected to assist with other front office responsibilities as needed, including:
- Answering incoming phone calls
- Scheduling and confirming appointments
- Reviewing and updating dental insurance information
- Helping with insurance benefit breakdowns
- Sending dental insurance claims electronically
- Following up on insurance information when necessary
- Working patient recall and reactivation lists
- Contacting patients who are overdue for care
- Helping fill last-minute openings
- Assisting with check-in when needed
- Communicating professionally with patients by phone, text, and email
- Supporting other front desk team members when workload shifts
- Learning additional administrative responsibilities as the practice grows
What We're Looking For
We are looking for someone who:
- Has previous dental front desk or dental administrative experience
- Has experience presenting dental treatment plans
- Is comfortable discussing fees and collecting payments from patients
- Understands dental scheduling and the importance of maintaining a productive schedule
- Has experience working with dental insurance
- Is comfortable answering phones and communicating with patients
- Is organized and able to manage multiple responsibilities
- Takes initiative and looks for what needs to be done
- Is a problem solver, not simply a task follower
- Is open to learning from our manager and adopting the systems and processes we use at Health 360 Dental
- Accepts coaching and feedback with a positive attitude
- Is willing to learn responsibilities outside of what they already know
- Can adjust priorities when the needs of the practice change
- Enjoys working as part of a team toward common goals
- Is dependable, professional, and accountable
