Reports to: Marina General Manager
The Property Administrator will maintain the marina’s accounting, financial, and administrative records, working closely with both property management and corporate accounting teams. The Administrator will create and analyze financial reports, verify compliance, ensure accurate transactions and reporting, and ensure all marina records and files are well organized and maintained. This position requires the team member to work 5 days per week and 8 hours per day. Seasonal schedule changes may take place at management discretion.
Duties and Responsibilities:
- Assist Marina Manager and Operations Team in maintaining accurate dock walk, rent roll, & occupancy reports
- Oversee and manage the marina store inventory
- Ring up customers for their slip rent and ship store purchases
- Enter data, maintain records, and create reports for AR and AP functions
- Coordinate, maintain records, and process all vendor & customer invoices, refunds, deposits, forms, & statements
- Complete sales tax forms, and government reporting forms
- Maintain and audit cash drawers and petty cash
- Communicate to DLQ customers on A/R collections and post finance charges
- Conduct reconciliations on all accounts as needed
- Assists with weekly vendor check runs
- Monthly financial reports to upper management and handle all inventory reconciliations, physical counts, and coding
- Conduct daily banking activities, including delivery of bank deposits and producing cash reconciliation reports
- Onboard new employees, ensuring that all forms, paperwork, and inquiries are properly handled
- Basic filing and record keeping, as needed
- Perform other general office and administrative duties as needed
Minimum Qualifications and Requirements:
- Minimum of five (5) years of experience in bookkeeping
- Acts with the highest level of integrity
- Expert level of proficiency with understanding and analyzing financials statements is required
- Advanced level of proficiency in Microsoft Office products, especially Excel, is required
- Experience working with POS systems preferred
- Proficient knowledge of QuickBooks and MS Office Suite
- Professional conduct and communication skills
- Ability to quickly learn new software programs
- Strong work ethic and personal commitment
- Ability be a self-starter and work independently
- Must have strong organization skills and ability to prioritize work
- Adaptable to a fast-paced environment
- Associates degree required
