Job Overview
We are seeking a dynamic and organized Office Assistant to join our team and ensure the smooth operation of daily office activities. Duties
- Greet visitors and clients with professionalism and a friendly attitude at the front desk
- Manage multi-line phone systems, answer inquiries, and direct calls appropriately using proper phone etiquette
- Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office software
- Assist with calendar management, scheduling appointments, and coordinating meetings for staff members
- Support bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records
- Handle clerical duties such as proofreading documents, preparing correspondence, and managing office supplies inventory
- Provide customer support by addressing inquiries promptly and professionally via phone or email
- Maintain a clean and organized reception area while ensuring all office equipment functions properly
- Support office management with administrative projects, including proofing documents and managing confidential information
Experience
- Proven experience as an Office Assistant or in a similar administrative role with at least one year of office experience
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively
- Familiarity with QuickBooks or bookkeeping software is preferred for supporting financial tasks
- Prior clerical or administrative experience in healthcare settings such as dental or medical reception is a plus
- Demonstrated organizational skills with the ability to manage time efficiently and prioritize tasks effectively
- Excellent proofreading skills to ensure accuracy in all written communications
- Personal assistant or medical receptionist experience is advantageous for understanding specialized workflows
