Administrative Executive Associate (HEA) - Provost's Office
POSITION DETAILS
Reporting to the Chief of Staff and supporting the Provost of The City College of New York, the Administrative Executive Associate provides executive-level administrative, operational, and project support to the Provost’s Office. This position plays a critical role in supporting Academic Affairs by managing high-level communications, coordinating institutional initiatives, and facilitating cross-functional operations across the College. The successful candidate will demonstrate strong organizational skills, discretion, and the ability to manage multiple priorities.
(Campus-specific Information and duties)
Provide managerial and administrative support to the Provost and Chief of Staff, prioritizing the Provost’s complex executive calendar aligned with institutional priorities, monitoring and responding to a high-volume executive email account, and elevating urgent and sensitive matters
Independently carry out a portfolio of special projects, monitor key operations, and provide project management oversight for various initiatives, facilitating project and status meetings
Support accreditation activities and institutional reviews
Support search committees and academic processes, such as textbook adoptions and trainings, ensuring compliance and timelines
Develop responses to internal and external inquiries; make appropriate referrals and ensure timely follow-up, coordinating internal and external communications on behalf of the Provost and Chief of Staff
Maintain and update key academic database systems, including web and intranet content, handbooks, faculty hiring terms, and committee actions
Organize special events, including faculty and administrative meetings, search committees, campus initiatives, travel logistics, and external visits
Provide guidance and support to faculty, staff, and students regarding processes and inquiries, onboarding, and ensuring operational continuity within the office
Serve as liaison across academic and administrative units to support coordination and communication
Manage office day-to-day operations, including logistics, inventory, work orders, and technology support
QUALIFICATIONS
Bachelor’s degree and six years’ related experience required.

- Experience working in higher education or academic affairs
- Higher education experience, knowledge of academic structure and systems. CUNYfirst and CUNYBuy experience a plus.
- Experience with faculty hiring processes, accreditation support, or academic reporting
- Strong project management, organizational, and interpersonal skills
- Ability to manage multiple competing priorities in a fast-paced environment and work across departments
CUNY TITLE OVERVIEW
Supports a Campus or University Executive in a variety of activities and initiatives as a key team member.
Organizes and manages projects involving different areas of the Campus or University community, with responsibility for project outcomes.
Represents the Executive's unit in Campus or University-wide activities, including committees, special initiatives, and implementation of new processes or technology.
Independently carries out a portfolio of responsibilities under the Executive's purview, such as approvals, student interactions, and monitoring of key activities. Manages communications within and outside the unit related to areas of responsibility.
May serve as Manager of a large Executive Office.
Performs related duties as assigned.

COMPENSATION AND BENEFITS
Salary Range: $90,838 - $102,408. Salary commensurate with education and experience.
CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
