Job Summary:
The Fleet Dispatch & Maintenance Coordinator is responsible for managing daily fleet operations while ensuring company vehicles remain safe, compliant, and operational. This dual-role position combines dispatching, driver communication, and fleet maintenance coordination to maximize efficiency, reduce downtime, and support on-time service delivery. The ideal candidate is highly organized, proactive, and capable of making critical decisions in a fast-paced environment.
Key Responsibilities:
- Taking work orders and dispatching schedules to ensure timely deliveries, pickups, and service commitments.
- Communicate effectively with Project Managers, drivers and mechanics regarding ongoing assignments and service updates.
- Monitor vehicle locations and driver activity to ensure operational efficiency and service reliability.
- Schedule and track preventative maintenance programs for all fleet vehicles and equipment.
- Coordinate repair appointments with external vendors and mechanics.
- Monitor vehicle availability and proactively manage maintenance schedules to minimize downtime.
- Review Driver Vehicle Inspection Reports (DVIRs) and remove vehicles from service when safety concerns are identified.
- Maintain maintenance records and ensure repairs are completed according to company standards.
- Invoice payments and reconciliation.
- Manage employee timecard allocations and approvals.
- Manage DOT transportation permitting – oversize/overweight permits.
- Manage the licensing of company vehicles as well as rental vehicles.
- Manage the depreciation of company vehicles.
Required Qualifications:
- High school diploma, GED, or equivalent required.
- Valid driver's license with insurable DMV driving record.
- Must be able to travel.
- Must be able to pass a drug test and ongoing random testing per government requirements.
- Minimum of 2–3 years of experience in dispatching, logistics coordination, transportation operations, or fleet maintenance administration.
- Experience working with commercial vehicle fleets, trucking operations, or transportation services preferred.
Work Environment & Physical Requirements:
- Primarily office-based with regular interaction with drivers, maintenance personnel, and service vendors.
- May require occasional after-hours, weekend, or emergency response support.
- Fast-paced environment requiring frequent prioritization of multiple tasks and operational demands.

Compensation:
Depends on Experience.
Pay: $25.00 - $35.00 per hour
