Responsibilities
- Greet patients and visitors warmly, providing excellent customer service and guiding them through check-in procedures, including collecting patient information and updating electronic health records (EHR systems)
- Manage appointment scheduling efficiently using electronic health records (EHR) systems and coordinate with medical staff to optimize daily calendars
- Handle phone communication professionally, addressing patient inquiries, appointment requests, and follow-up needs with clarity and empathy
- Enter and update patient information accurately within EHR systems, ensuring data integrity and confidentiality
- Verify insurance details, assist with health insurance questions, and process medical billing and collections using medical coding systems like CPT and ICD-10 coding standards
- Maintain organized internal communication channels to ensure seamless coordination among healthcare providers and administrative staff
- Maintain patient records by filing documents correctly and reviewing documentation for accuracy in compliance with HIPAA regulations
- Handle appointment reminders, follow-up calls, and patient inquiries with excellent phone etiquette and customer service skills
- Support office management tasks including filing, data entry, and managing office supplies to ensure an efficient front desk environment
Skills
- Proven administrative experience within healthcare settings, demonstrating familiarity with medical office procedures
- Strong knowledge of medical terminology, ICD-9/ICD-10 coding, CPT coding, and medical billing procedures
- Proficiency in Microsoft Office applications (Word, Excel)
- Strong knowledge of managed care principles, health insurance policies, and revenue cycle management processes
- Knowledge of HIPAA compliance standards to ensure patient confidentiality at all times
- Knowledge of electronic health records (EHR) management systems and medical terminology to support clinical documentation needs
- Excellent schedule management skills to prioritize tasks efficiently in a fast-paced environment
- Effective internal communication skills to collaborate with team members and healthcare providers seamlessly
- Accurate data entry skills along with fast typing capabilities to maintain precise records
- Exceptional customer service skills with a professional demeanor and strong phone etiquette
- Prior experience handling multi-line phone systems, medical scheduling, and office management tasks preferred
