General Summary
The Ministry Project Manager provides project leadership, operational coordination, and strategic support for ministry initiatives across the life of Concord Church. This role ensures ministry projects, discipleship initiatives, events, volunteer programs, and church-wide ministry campaigns are planned, organized, communicated and executed with excellence.
The Ministry Project Manager serves as a bridge between ministry teams, operations, communications, and support departments to translate vision into action. This individual develops project timelines, manages resources, tracks deliverables, facilitates collaboration, and ensures ministry priorities are completed on time and aligned with the church's mission, vision, and strategic goals.
Supervisory Responsibilities
This role is an individual contributor and does not have direct reports.
Key Responsibilities
Ministry Project Leadership

Lead the planning, implementation, and completion of ministry projects and cross-functional initiatives.

Develop project plans, milestones, timelines, deliverables, and accountability measures.

Coordinate project meetings, agendas, status updates, and follow-up actions.

Monitor project progress and proactively address obstacles or delays.

Ensure ministry initiatives remain aligned with organizational priorities and annual ministry goals.
Strategic Ministry Execution

Partner with ministry leaders to transform vision and strategy into executable plans.

Support the implementation of discipleship pathways, ministry campaigns, leadership development initiatives, and church-wide events.

Track ministry objectives and key performance indicators.

Prepare dashboards, reports, and executive summaries for leadership review.

Assist with annual ministry planning and goal-setting processes.
Ministry Operations

Develop and maintain ministry systems, workflows, SOPs, and project management practices.

Facilitate communication and collaboration among ministry, marketing, finance, facilities, production, and volunteer teams.

Maintain project documentation, schedules, budgets, contracts, and ministry records.

Coordinate logistics for ministry events, conferences, trainings, and special initiatives.
Event & Initiative Management

Manage church-wide ministry projects from concept through execution.

Coordinate event logistics including scheduling, registration, vendor management, room setup, communication plans, and post-event evaluations.

Ensure ministry events are delivered on time, within budget, and with a high level of excellence.

Collaborate with the Marketing & Communications team regarding promotional timelines and deliverables.
Class Coordination (Equipping U)
This role coordinates Equipping U Classes only. Growth Track (new member classes) is coordinated by a separate team and is not within this role's scope.

Create class involvements and manage rosters and meeting dates for Equipping U Classes.

Coordinate facilitator and moderator communication and training.

Manage room bookings and setup; coordinate with IT for technical support.

Manage website updates related to Equipping U Classes.

Create and distribute surveys and reports for Equipping U Classes.

Manage the Asana project management system for Equipping U Classes.
Special Projects — Brotherhood Ministry

Coordinate the Brotherhood Kickoff (fall retreat).

Coordinate the Brotherhood Takeover serve day.

Coordinate the Brotherhood Wrap Up end-of-season celebration.
Large Group Coordination (Brotherhood, Sisterhood, Made to Last, Singles)

Manage registration forms and rosters for all large groups.

Ensure accurate attendance tracking.

Manage table set-up for Brotherhood, Sisterhood, and Made to Last/Singles (seasonally).
-
Place orders and make copies for large group materials.
-
Send communication to table leaders and coordinate training dates and invitations.
-
Manage and coordinate volunteers for bible study set-up (recruitment of volunteers remains with the Ministry Leader/Pastor).

Create and distribute surveys and reports for large groups.

Book spaces for large groups and trainings.

Manage the Asana project management system for large groups each season.
Campaign Project Management

Serve as project manager for the Grow Campaign (January and August), coordinating logistics and cross-functional communication in support of Grow Groups, Growth Track, and Bible study class involvement.

Serve as project manager for the Serve Campaign (March and September), coordinating expo logistics and communication highlighting serve opportunities.

Manage timelines, vendor/material needs, volunteer coordination, and cross-team communication for both campaigns. Volunteer recruitment remains with the Ministry Leader/Pastor; this role coordinates and manages volunteers once recruited.
Leadership Gathering Support

Provide project management and logistics support for the Leadership Summit (January), including space, materials, communication, and scheduling for volunteer leaders.

Provide project management and logistics support for Leadership Meetings (fall and spring) for volunteer church leaders.

Support agenda-building, pre-meeting preparation, and post-meeting follow-up communication for these gatherings.
Volunteer & Team Coordination

Support ministry leaders in coordinating volunteer engagement for major initiatives.

Assist with volunteer onboarding, scheduling, communication, and recognition processes.

Facilitate project-specific volunteer teams and ministry task forces.

Promote collaboration and unity across ministries and departments.
Budget & Resource Management

Assist ministry leader with project budgeting and expense management.

Monitor project expenditures and identify cost-saving opportunities.

Ensure invoices, contracts, purchase requests, and reimbursements are processed accurately and timely.

Coordinate external vendors and ministry partners as needed.
Administrative Support for the Ministry Leader

Provide calendar and scheduling support tied to initiatives within this role's scope (Brotherhood events, campaign planning, leadership gatherings).

Coordinate campaign-specific communication on behalf of the Ministry Leader for the Grow Campaign and Serve Campaign.

Education & Experience
Required

Bachelor's degree in Business Administration, Project Management, Nonprofit Management, Ministry Leadership, Organizational Leadership, or related field.

Minimum of 3–5 years of project management, ministry operations, nonprofit leadership, or related experience.

Demonstrated experience coordinating multiple projects simultaneously.
Preferred

Project Management Professional (PMP), CAPM, Agile, or similar certification.

Experience serving in a church or faith-based organization.

Experience managing volunteers and ministry events.
Physical Requirements

An employee in this position primarily works in a typical office or sanctuary environment, is generally sedentary, and uses computers, calculators, phones, and other office equipment to draft documents, communicate with church staff, and fulfill other position duties.
- An employee in this position is required to walk, hear, speak, and stand to conduct sermons and minister to the members (both at the main church and at remote locations). Work is conducted in a fast-paced, rapidly changing environment.
- The ability to manage stress, build professional and collaborative relationships, and reason through both complex church business situations and profound personal crises that members may experience is required.
- A flexible schedule is required since this position requires evening and weekend work due to scheduled events.
Travel Requirements
A valid Texas driver's license and acceptable motor vehicle record is required.
