Position Overview
The Real Estate Transaction Coordinator will manage the administrative aspects of real estate transactions from contract to closing while also supporting basic bookkeeping functions using QuickBooks. This role is ideal for someone who thrives in a fast-paced environment, is highly organized, detail-oriented, and has both real estate and financial management experience.
Responsibilities
Transaction Coordination
- Oversee real estate transactions from executed contract through closing, ensuring a smooth and timely process
- Review contracts and related documents for accuracy, completeness, and compliance with applicable regulations
- Coordinate with agents, clients, lenders, title companies, and vendors to facilitate efficient transaction flow
- Track deadlines, contingencies, and critical milestones to ensure all obligations are met
- Maintain organized and up-to-date digital transaction files and records
- Provide timely status updates to all parties and proactively address issues that may arise
- Schedule and manage inspections, appraisals, and other transaction-related appointments
- Serve as the primary liaison between all parties to ensure clear communication and issue resolution
Marketing & Administrative Support
- Assist in the creation and distribution of marketing materials, listing presentations, and property advertisements
- Support social media marketing efforts to promote listings and brand visibility
- Coordinate property showings, open houses, and signage placement
- Maintain accurate client, property, and transaction databases
Compliance & General Responsibilities
- Stay current on real estate regulations, industry standards, and best practices
- Ensure compliance across all transactions and administrative processes
- Perform additional duties and administrative tasks as assigned by management
Qualifications
- 3+ years of real estate transaction coordination experience
- Strong understanding of real estate contracts and closing processes
- Excellent organizational and time management skills
- High attention to detail and accuracy
- Strong communication and interpersonal skills
- Ability to manage multiple transactions simultaneously
- Proficiency with Microsoft Office, Google Workspace, and CRM systems
- Social Media proficiency
Preferred Qualifications
- Active real estate license (preferred but not required)
- Experience with real estate transaction management software (e.g., Transaction Desk, DocuSign, Remine)
