Role Description
This is a full-time, on-site role for a Customer Service & Order Coordinator based in Sayreville, NJ. This is a process-heavy, multi-step role — you'll be responsible for moving customer orders accurately through artwork review, print coordination, payment confirmation, and shipping, while keeping every department in sync along the way.
Responsibilities
- Respond to customer inquiries via phone and email in a professional and timely manner
- Process and manage customer orders within NetSuite, including custom graphic orders
- For manual orders, confirm credit card is on file before processing
- Review artwork and track artwork status throughout the order sequence (from submission to print-ready approval)
- Coordinate with our print partner on order status, proofs, and production timing
- Manage vendor portal activity — our vendor portal gives print partners login access to view job details including print files, quantities, shipping address, and shipping method
- Coordinate with accounting to confirm payment has cleared before releasing orders for shipment
- Manage drop-ship orders, ensuring accurate routing and timely fulfillment
- Determine and coordinate correct shipping labels (company account vs. customer-provided), ensuring accuracy for each order
- Provide warehouse with necessary shipping paperwork, pick lists, and labels
- Obtain or confirm package dimensions and weight as needed for shipping
- Track shipments, resolve order issues, and coordinate with warehouse on fulfillment
- Assist with picking, packing, and shipping customer orders during peak times
- Handle returns, exchanges, and replacement requests according to company policy
- Maintain accurate customer and order records
- Collaborate with sales, printer, accounting, and warehouse teams to resolve escalations
Qualifications
- Experience processing orders, coordinating shipments, or managing customer accounts in a role with multiple steps and handoffs (e.g., customer service, order management, logistics, or operations)
- Able to track an order through several stages — artwork review, vendor coordination, payment confirmation, label assignment, shipment — and know where it stands at any point
- Comfortable reviewing artwork or print files closely enough to catch visible errors or inconsistencies before an order moves forward (no design background required)
- Able to confirm details like package dimensions, weight, shipping method, and payment status accurately before an order ships
- Experience using business software systems for order or inventory management (NetSuite experience a plus)
- Able to coordinate with multiple departments — accounting, the print partner, and the warehouse — to resolve questions and keep orders on schedule
- Strong attention to detail, particularly with shipping labels, addresses, and payment verification, where small errors have real consequences
- Legally authorized to work in the United States
- Experience in the trade show, display, or printing industry is a plus
- Bilingual in Chinese is a plus
Pay: $19.00 - $23.00 per hour
