Position Overview
We are seeking a detail-oriented and proactive Logistics Coordinator to support our Sales, Finance, and Operations teams. This role is responsible for helping coordinate vehicle sales, delivery logistics, customer communication, paperwork, and internal reporting.
A great candidate would be someone who is highly organized, comfortable communicating by phone and email, and able to manage multiple tasks in a fast-paced environment. This position requires strong attention to detail, follow-up skills, and the ability to work well with internal teams, dealerships, customers, vendors, and transport partners.
Responsibilities
- Support the Sales and Finance teams with administrative and sales-related tasks.
- Assist with vehicle delivery coordination from order processing through final delivery.
- Communicate professionally with customers, dealerships, vendors, transport companies, and internal departments.
- Track vehicle status, delivery updates, paperwork, and open items using internal reports and Excel spreadsheets.
- Assist with sold vehicle paperwork and ensure required documents are complete and accurate.
- Coordinate customer pickup or transportation arrangements as needed.
- Follow up on outstanding items to help keep deliveries moving efficiently.
- Maintain accurate notes, records, and updates in company tracking systems.
- Help identify ways to improve communication, organization, and overall process efficiency.
- Provide general administrative support to the CFO, Senior Sales, and Sales Department as needed.
Requirements
- Strong organizational skills and ability to manage multiple priorities at once.
- Excellent written and verbal communication skills.
- Comfortable speaking with customers, dealerships, vendors, and internal team members by phone and email.
- Work collaboratively and assist team members when needed.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Applications, mainly Outlook and Excel.
- Ability to work independently and follow up on tasks without constant direction.
- Professional, personable, and team-oriented attitude.
- Problem-solving mindset and willingness to learn.
Preferred Qualifications
- Previous experience in sales support, logistics coordination, administrative support, or a similar role is preferred.
- Experience in the automotive, fleet, dealership, logistics, or transportation industry is a plus.
- Familiarity with vehicle sales paperwork, delivery coordination, or Excel-based tracking reports is helpful but not required.
