Position Overview
The Executive Meetings Manager is a revenue-generating sales position responsible for developing new business, growing existing accounts, and achieving an assigned revenue goal for small meetings and group events. This role manages the full sales process—from prospecting and selling to contracting, planning, billing, and completing a successful event. The ideal candidate is a motivated sales professional who enjoys building client relationships, identifying opportunities, closing business, and ensuring an exceptional experience from the initial conversation through the final billing.
The Executive Meetings Manager will be responsible for meeting or exceeding an assigned revenue goal, with a particular focus on small groups and meetings of approximately 10–19 guest rooms on peak nights.
Key Responsibilities
Sales & Revenue Generation
- Achieve assigned revenue goals by actively prospecting for new business and growing existing accounts.
- Develop and maintain strong relationships with clients, organizations, and local businesses to generate repeat and referral business.
- Proactively pursue new group and meeting opportunities, particularly those occurring within a 90-day booking window.
- Conduct sales outreach through phone calls, email, networking, client visits, and other proactive sales activities.
- Respond promptly to inquiries and requests for proposals, developing creative and competitive proposals that meet client needs.
- Negotiate and finalize contracts while protecting the financial interests of the hotel.
- Identify opportunities to increase revenue through additional guest rooms, food and beverage, meeting space, audiovisual services, and other event needs.
- Cross-sell other hotels within the company portfolio when appropriate.
- Maintain accurate records of sales activity, opportunities, client communication, and account information.
Client & Event Management
- Serve as the primary point of contact for assigned groups from the initial booking through the completion of the event.
- Guide clients through the planning process, clearly communicating deadlines, payment requirements, cancellation policies, and other important details.
- Gather and confirm all event requirements, including guest rooms, meeting space, food and beverage, room setup, audiovisual needs, and special requests.
- Ask thoughtful questions to understand the client's goals and identify opportunities to enhance the event and increase revenue.
- Prepare contracts, proposals, event details, and other required documentation.
- Coordinate event details with hotel departments and ensure client expectations are clearly communicated and met.
- Review final event plans with the appropriate hotel teams and follow through to ensure a successful experience.
- Review and finalize event billing following the completion of each event, ensuring charges are accurate, properly documented, and aligned with the client's agreement.
- Follow up with clients as needed regarding final billing, outstanding balances, or billing questions, and coordinate with the appropriate internal teams to resolve discrepancies promptly.
- Resolve client concerns quickly, professionally, and proactively.
Organization & Teamwork
- Manage multiple sales opportunities and events simultaneously while maintaining accuracy and meeting deadlines.
- Work effectively with hotel leadership and operational teams to ensure a seamless client experience.
- Participate in weekly sales and operational meetings as needed.
- Make effective use of available sales, administrative, and support resources.
- Maintain a high level of professionalism, organization, responsiveness, and follow-through.
Qualifications
- Previous hotel, hospitality, event sales, or related sales experience required.

Technology
Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, is expected. Experience with customer relationship management (CRM), sales, proposal, or event-management systems is preferred.
Physical Requirements
- Ability to bend, squat, reach, and climb stairs regularly.
- Ability to regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds.

As Executive Meetings Manager, you will be responsible for all Group and Local sales efforts for one single Hotel or a collection of properties in the assigned territory. You will be responsible for contracting the business as well as managing the event through execution.
Responsibilities:
- Responsible for group leads between 10-19 peak sleeping room nights
- Responsible for managing and maintaining accounts in CI/TY
- Specifically solicits groups within a 90 day window
- Log all activities (including proactive initiatives and maintenance activities) in CI/TY.
- Complete action plans for annual sales and marketing plan (generally due in September of each year)
- Ensures business booked is within hotel parameters
- Processes all business correspondence within acceptable time limits as outlined in company SOPs.
Creates proposals, contracts and other related booking documentation as required.
- Manages own events. This includes receiving rooming lists, educating client on cutoff dates/deadlines, attrition or cancellation charges, receiving payment. Detail event to include all food and beverage, set up, and AV needs. Ask appropriate questions/upsell to make sure details meet the group and Hotel’s needs.
- Create and distribute BEOs
- Create group resumes and communicate client needs to all department heads, and ensure hotel staff follows through.
- Effectively uses sales resources and administrative/support staff.
- Sales Manager needs to be proactive, aggressive and have a good understanding of feeder markets and competitor hotels.
- Cross sells to other hotels in the OP portfolio when appropriate. Help organize sales blitzes or other special events.
- Attend weekly meetings as needed.
