What you'll be doing:
The construction industry, much like the rest of the world, has changed drastically in recent years. Strong organization, communication, and coordination are essential to ensuring projects move forward efficiently and successfully. As an Assistant Project Coordinator, you will play an important role in supporting our Project Management team and keeping projects organized from contract through completion. You will help coordinate project information, maintain schedules and documentation, organize project communications, track important deadlines and deliverables, and ensure that information is communicated effectively between internal teams, customers, architects, suppliers, general contractors, and other project partners.
Responsibilities may include, but are not limited to:
- Supporting Project Managers with the day-to-day coordination and administration of active projects.
- Maintaining project schedules, timelines, and important deadlines.
- Organizing project documents, correspondence, plans, and other project information.
- Responding to and organizing emails, phone calls, and project communications efficiently.
- Coordinating communication between Project Management, Estimating, field teams, suppliers, architects, and general contractors.
- Assisting with project updates, status tracking, and follow-up items.
- Monitoring outstanding tasks and helping ensure commitments are completed on time.
- Assisting with material, pricing, and information requests as needed.
- Maintaining accurate project records and job information.
- Helping identify potential scheduling, communication, or organizational issues before they become problems.
- Supporting the Project Management team with administrative and coordination needs throughout the life of each project.
- Learning and utilizing project management, scheduling, accounting, and other software systems used by the company.
- You will have regular communication with Project Managers, Estimators, architects, suppliers, general contractors, customers, and internal team members. Your ability to keep information organized and ensure the right people have the right information at the right time will be critical to your success.

Construction experience is helpful, but we are willing to train the right person who demonstrates strong organizational skills, attention to detail, initiative, and a desire to learn. We want someone who is interested in building a career and growing alongside our company. You should be comfortable taking ownership of your responsibilities, asking questions, solving problems, and continuously looking for ways to improve how our projects are coordinated and managed.
Skills/Requirements:
- Strong verbal and written communication skills.
- Excellent organization and time-management skills.
- Ability to manage multiple projects, priorities, and deadlines.
- Strong attention to detail and follow-through.
- Ability to communicate effectively by phone, email, and in person.
- Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Outlook.
- Comfortable working with computers and Windows operating systems.
- Familiarity with scheduling concepts and project management software; training will be provided.
- QuickBooks experience is helpful; training will be provided upon hire.
- Ability to work collaboratively with multiple departments and external partners.
- Ability to learn new software, processes, and construction concepts quickly.
Not Required but Recommended
- 1+ years of experience in project coordination, office administration, construction, or a related organizational role.
- Experience working with project management or scheduling software.
- Experience coordinating between multiple teams, vendors, customers, or contractors.
- Familiarity with the construction industry.
