Reports To: Senior Payroll Specialist and/or Assistant Controller
Direct Reports: None
Schedule: Monday–Friday, 8:00 a.m.–4:30 p.m.; overtime, working on the weekend and holidays will be required based on business needs.
The Payroll Coordinator supports multi-state union and non‑union payroll operations by ensuring accurate data entry, timely processing, strong internal customer service, and strict adherence to wage and hour requirements. This on-site role requires exceptional attention to detail, strong time management, confidentiality, and the ability to work both independently and collaboratively in a fast-paced environment. The ideal candidate demonstrates consistent accuracy, prioritizes deadlines effectively, and maintains a customer-focused approach while ensuring compliant and efficient payroll processing.
Essential Job Functions
Payroll Processing
- Review employee timesheets and cross-check Paycom data for accuracy.
- Support multi-state payroll processing and apply basic wage and hour rules.
- Assist with union payroll reporting, deductions, and benefit remittances.
- Organize and review new-hire paperwork for union and non-union employees.
- Respond to payroll inquiries and resolve discrepancies in a timely, friendly, and customer-focused manner.
- Maintain payroll records accurately and prepare clear, concise reports.
- Assist with changes to employee payroll inputs including earning codes, garnishments, deduction codes, paid leave, etc.
- Support payroll aspects of employee onboarding and offboarding.
- Collaborate with managers and internal departments to resolve payroll discrepancies.
- Contribute to payroll process improvements and documentation updates.
General Duties
- Demonstrate strong time management to meet daily, weekly, and multi-state payroll deadlines.
- Apply critical thinking to identify and address issues proactively.
- Communicate effectively with internal teams and external organizations (i.e. Union business managers, Paycom and other vendors).
- Maintain confidentiality of sensitive payroll and compensation information.
- Participate in continuous improvement efforts and maintain professional knowledge through training, publications, and professional networks.
- Perform other duties as assigned.
Knowledge, Skills, and Abilities
- 2+ year of payroll or accounting experience; union payroll exposure preferred.
- Strong attention to detail, accuracy, and ability to manage multiple deadlines.
- Demonstrated time management skills with the ability to prioritize tasks in a fast-paced environment.
- Strong internal customer service mindset and ability to foster positive working relationships.
- Ability to investigate and resolve discrepancies efficiently.
- Knowledge of multi-state payroll and wage/hour compliance is a plus.
- Strong written and verbal communication skills.
- Demonstrated dependability and integrity in handling confidential information.
- Proficiency in Microsoft Excel and experience with Paycom is a plus.
Education and Experience
- High school diploma or equivalent required.
- 1-year related experience and/or training; or equivalent combination of education and experience that demonstrates the ability to perform the duties of the position.
Physical Requirements
- Regularly required to sit, stand, walk, reach with hands and arms, talk, see, and hear.
- Ability to spend extended hours working at a computer.
- Must regularly lift and/or move more than 10 lbs.
