Supervision During Maternity Leave: When the CEO is on maternity leave, this position will report to the Marketing & Development Director; When both the CEO and the Marketing & Development Director are on maternity leave, this position will report to the Finance & Administration Director
Position Type: Part-Time, Temporary
Anticipated Term: August 2026 – February 28, 2027, with potential for extension based on organizational need, employee performance, and available funding
Schedule: Approximately 20 hours per week; preferred schedule is Monday through Friday, 8:00am – 12:00pm, with flexibility around fundraising events, committee meetings, and organizational needs
Position Overview
The Marketing & Fundraising Coordinator provides support for fundraising, communications, donor stewardship, community engagement, and organizational operations. This position helps ensure continuity of key functions during a period of planned leadership leave and supports the successful execution of fundraising events, marketing initiatives, and development activities.
The position works closely with the CEO, Marketing & Development Director, and Finance & Administration Director to support organizational priorities and maintain momentum across multiple departments. In addition to providing day-to-day operational support, this role helps maintain organized systems, consistent communications, and continuity of ongoing projects to ensure a smooth transition for leadership staff returning from leave and to support long-term organizational success.
Primary Responsibilities
Marketing & Communications Support
- Assist with maintaining the organizational communications calendar
- Create, schedule, and publish social media content across multiple platforms
- Develop graphics and marketing materials using Canva
- Assist with website updates and maintenance
- Support preparation and distribution of newsletters and other communications
- Track and report social media and communications analytics
Development & Donor Relations Support
- Assist with donor acknowledgments, thank-you cards, and stewardship activities
- Maintain donor and event records within Bloomerang and other organizational systems
- Assist with tour tracking and follow-up communications
- Support sponsorship benefit fulfillment and donor communications
- Maintain accurate records related to fundraising and community engagement activities
Fundraising Event Support
- Participate in planning and implementation of Feast for Hope and Black Tie & Blue Jeans
- Attend committee meetings and assist with event logistics and project management
- Coordinate volunteers, auction preparation, sponsorship materials, and event communications
- Assist with vendor coordination, setup, execution, and teardown of fundraising events
- Serve as an onsite support person during fundraising events and community engagement activities
- Assist with post-event follow-up and reporting
Administrative & Organizational Support
- Assist leadership staff with administrative projects and organizational initiatives as needed
- Assist with grant research, data collection, and supporting documentation as assigned
- Maintain confidentiality regarding donor, client, and organizational information
- Meet with Finance & Administration Director weekly
- Perform other duties as assigned
Qualifications
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- High attention to detail and ability to manage multiple priorities.
- Proficiency with Microsoft Office, Google Workspace, Canva, and social media platforms.
- Ability to work independently while collaborating effectively with staff and volunteers.
- Experience with nonprofit organizations, event planning, marketing, fundraising, or administrative support preferred.
- Experience with donor databases or CRM systems preferred.
