This is an execution-focused role where you will coordinate, track, document, and follow up on all moving parts of our retail assets. Your primary responsibilities include:
- Property Operations: Own the follow-up for inspections, work orders, routine service coordination, and vendor scheduling.
- Tenant Relations: Serve as the daily point of contact for routine tenant questions, maintenance issues, and access needs, tracking requests to a smooth resolution.
- Vendor & Bid Coordination: Gather bids, organize proposals, track project completion, and flag any performance or safety concerns.
- Compliance Tracking: Maintain critical tracking for Certificates of Insurance (COIs), HVAC contracts, and essential tenant contact info.
- Financial Admin: Code invoices, gather backup documentation, verify contract alignment, and support budget and CAM reconciliation prep.
- Emergency Response: Participate in the on-call rotation and swiftly document and escalate urgent safety, financial, or legal matters.
Who You Are
- You have a proven track record in property management (retail/commercial experience is a major plus).
- You deliver timely, professional, and clear updates to tenants, vendors, and internal leaders.
- You love systems. Your files, certificates, and inspection records are always organized and easy to retrieve.
- You know how to package data, summarize open items, and escalate sensitive issues to leadership before a crisis happens.
