Position Summary
Steristat is an environmental services company based in Columbus, Ohio, providing commercial cleaning services with a focus on the healthcare and construction industries.
Steristat is seeking a part-time Office Assistant (20–25 hours/week) to support day-to-day operations. This in-person role is responsible for scheduling coordination, new-hire onboarding support, administrative tasks, inventory organization and tracking, and occasional driving to deliver supplies/materials to job sites. The ideal candidate is truly bilingual (Spanish/English), highly reliable, organized, and comfortable communicating with both field teams and customers.
Schedule / Pay
- Type: Part-time, hourly — 20–25 hours per week
- Hours: Flexible, with preference for morning and early-afternoon weekday coverage
- Work location: Primarily office/warehouse in Worthington, with periodic trips to job sites
Core Responsibilities
Scheduling & Dispatch Support
- Coordinate daily scheduling activities (in coordination with the Office Manager)
- Communicate with project managers/clients as needed to confirm upcoming work
- Confirm worker assignments and attendance (calls/texts) and document confirmations
- Prepare and send job details (e.g., job prep sheets, instructions, invitations)
- Help ensure the next-day schedule (who is going where + what is needed) is set
- Maintain a single, accurate source of truth for scheduling (physical board and/or digital calendar), keeping it consistently up to date
Onboarding Support
- Support onboarding tasks for new employees: paperwork, background check instructions, basic process explanations, and follow-ups
- Handle onboarding-related information with discretion and confidentiality
Morning Operations & Job Readiness
- Support morning “go time” when crews are loading, departing, and last-minute changes occur
- Ensure supplies and materials are prepared for each crew/truck
- When trucks are offsite, stage supplies with clear labels/notes indicating destination and job
Inventory Management (Consumables + Equipment)
- Organize and maintain inventory in the warehouse/office
- Track consumable usage (especially time-and-material items) so materials used can be accurately recorded and billed when appropriate
- Maintain visibility of what supplies/equipment are located at each job site
- Track equipment assigned to sites (e.g., sweepers, carpet cleaners) to reduce loss and improve retrieval
Daily Reporting Support (Quality Control)
- Pull timekeeping reports from relevant software
- Review reports for completeness/clarity (locations, room numbers when available, task details, materials used) before manager review
Office Administration
- Answer phones/messages and route requests appropriately
- Assist with general office administration (document organization, printing/scanning, simple data entry, coordinating appointments)
- Support special projects as needed
Driving / Deliveries
- Occasionally drive supplies/materials to job sites and/or pick up items locally
- Maintain cleanliness/organization of items in transit and confirm deliveries with the receiving crew/lead
Required Qualifications
- Fluent in Spanish and English (must be able to explain administrative and workplace topics clearly)
- Valid Ohio driver’s license with a clean driving record; comfortable driving locally
- Highly organized, detail-oriented, and dependable
- Strong communication skills (phone, text, and in-person)
- Comfortable working in a fast-moving environment with shifting priorities
- Able to commit to 20–25 hours/week within morning/early-afternoon weekday hours
Preferred Qualifications
- Prior experience in office administration, dispatch/scheduling, or operations support
- Experience supporting employee onboarding and handling confidential information
- Familiarity with inventory tracking and basic logistics
- Comfort using mobile apps and basic digital tools (e.g., calendars, shared docs)
- Willingness to learn more advanced tools (e.g., AI tools)

Pay: $25.00 per hour
