In this role, you will be the vital link in guiding prospective students and their families through the enrollment process, ensuring a seamless experience from inquiry to registration. Your proactive communication, organizational skills, and passion for education will help drive student recruitment efforts and uphold our commitment to accessible education.
Job Summary:
Serve as the primary point of contact for prospective students and families, providing clear information about programs and enrollment procedures.
1. Compliance, Documentation & Audit Readiness
- Create and ensure all enrollment folders are 100% complete and stored in strict accordance with district student records policies and procedures.
- Monitor FTE counts and execute "ramp-up" activities to ensure maximum student representation during critical state reporting windows.
- Manage and verify that all student enrollment information is accurately entered into the in-house Student Information System (SIS).
- Adhere to and enforce all company and district policies, ensuring that enrollment packets and materials are readily available and compliant with current standards and in the four required languages (English, Spanish, Haitian Creole and Portuguese).
- Maintain and manage student waitlists, ensuring fair and transparent processing of applicants.
2. Assessment and Placement
- Organize and conduct formal orientations for new and re-enrolled students within the timelines specified by the current Enrollment Standard Operating Procedures.
- Coordinate meetings with families and students to ensure a smooth transition into the program, aligning enrollment with the student’s academic goals.
- Inform parents and students regarding academic and Career & Technical Education (CTE) programs available at the assigned school site.
- Track and analyze enrollment data to identify patterns, troubleshoot issues, and foster data-driven decision-making for achieving budgeted and targeted enrollment numbers.
3. Instructional Support & Staff Capacity Building
- Collaborate with the Enrollment Manager, Lead CEEL and school Principal to communicate the advantages of the program design and product features.
- Provide translation services as needed and develop multilingual enrollment materials to ensure equitable access for all families.
- Assist with schoolwide events and community outreach such as feeder school visits, community canvassing and event-based recruitment.
- Regularly communicate with colleagues and supervisors to update them on program design changes and enrollment logistics.
4. Data Monitoring and Student Progress
- Conduct home visits as needed to support families through the enrollment and retention process, bridging the gap between home and school.
- Work with families to align student growth plans, supporting their ongoing engagement with the student’s in-school experience.
- Provide regular operational updates and reports to school leadership regarding recruitment progress and enrollment barriers.
- Plan and manage the material needs and supply chain for promotional events and school-site reception areas.
5. Communication & District Liaison
- Cultivate program interest through dynamic involvement with local civic organizations, religious groups, and chambers of commerce.
- Lead and coordinate local recruitment initiatives, proactively identifying feeder schools and community partners to build a robust database of contacts.
- Represent the program and company in a positive, professional manner at public events, business organizations, and professional education forums.
- Prepare comprehensive programs of events and timetables for promotional activities to maintain a consistent community presence.
- Complete all records keeping assignments to ensure accurate tracking of enrollment initiatives and outcomes
- Other duties as assigned
Qualifications
Required:
- Bachelor of Arts or Science in a relevant field;
- At least one year of relevant experience in sales, business development/marketing, or public relations;
- Strong written and verbal skills;
- Ability to create multimedia presentations in PowerPoint;
- Must possess a local Driver’s License and a clear driving record;
- Proficiency with Microsoft Excel, Word, Outlook, PowerPoint and internet applications
- Bilingual in Spanish and English preferred;
- Proficiency with multimedia communication tools, such as discussion boards, webinars, email, instant messaging, digital photography
