Our team is looking for a dependable and organized Fleet Administrator to help support our growing fleet and field operations.
Position Summary
The Fleet Administrator is responsible for helping manage the day-to-day operations of the company vehicle fleet. This position will support vehicle tracking, maintenance coordination, driver documentation, registrations, inspections, fuel card management, and general fleet organization to help keep our field teams running efficiently and safely.
This role works closely with operations, HR, safety, and field managers to ensure vehicles remain compliant, organized, and ready for daily use.
Responsibilities
- Track and maintain records for company vehicles and drivers
- Schedule and coordinate vehicle maintenance and repairs
- Monitor vehicle inspections, registrations, and renewals
- Assist with assigning vehicles and tracking vehicle inventory
- Manage fuel cards, toll tags, and fleet-related accounts
- Track mileage, maintenance history, and service schedules
- Follow up on vehicle issues reported by employees
- Help coordinate new vehicle setups including racks, wraps, decals, and equipment
- Monitor GPS/GeoTab tracking systems and report issues
- Maintain accurate fleet spreadsheets and documentation
- Assist with accident reporting and insurance claim documentation
- Coordinate vehicle cleanings, details, and organization
- Support safety and compliance initiatives related to fleet operations
- Communicate with vendors, dealerships, and repair shops as needed
Qualifications
- Previous administrative or fleet experience preferred
- Strong organizational and multitasking skills
- Good communication and follow-up skills
- Proficient in Microsoft Office, especially Excel
- Ability to manage spreadsheets and maintain accurate records
- Detail-oriented with strong problem-solving skills
- Ability to work in a fast-paced environment
- Valid driver’s license required
Preferred Experience
- Fleet management or construction industry experience
- Experience with GPS tracking systems such as GeoTab
- Experience coordinating vehicle maintenance or repairs
- Bilingual (English/Spanish) is a plus

Pay: $35,360.00 - $41,600.00 per year
