About Us:
Vascular Centers of America is a growing outpatient vascular clinic and procedure center specializing in advanced minimally invasive treatments including Peripheral Angiograms, Venograms, Genicular Artery Embolization (GAE), and other vascular and interventional procedures.
Position Overview:
We are seeking an experienced Surgical Coordinator / Patient Care Administrator to serve as the primary liaison between patients, physicians, and the procedural team.
The Surgical Coordinator is responsible for guiding patients through the procedural process from scheduling through follow-up care. This role requires strong medical knowledge, excellent communication skills, and the ability to explain procedures clearly while providing reassurance and support to patients and their families.
The ideal candidate is organized, compassionate, detail-oriented, and comfortable working in a fast-paced vascular or procedural setting.
Schedule:
- Full-Time (40–43 hours per week)
- Schedule varies based on procedural volume
- Occasional weekend coverage required
- Flexibility with scheduling is essential
Responsibilities:
- Schedule vascular and interventional procedures
- Coordinate physician schedules and procedure calendars
- Contact patients before procedures to review preparation instructions and expectations
- Educate patients regarding Peripheral Angiograms, Venograms, GAE procedures, and related treatments
- Answer patient questions and address concerns professionally and compassionately
- Manage appointment changes, cancellations, and rescheduling
- Verify completion of required documentation prior to procedures
- Coordinate communication between physicians, staff, and patients
- Greet patients and create a welcoming environment
- Assist with patient intake and registration
- Ensure patients feel informed, comfortable, and supported throughout their visit
- Provide exceptional customer service and patient care
- Maintain HIPAA compliance and confidentiality standards
- Monitor daily procedure flow and scheduling efficiency
- Ensure procedure days run smoothly and on schedule
- Provide daily updates and reports to the Lab Directort
- Monitor inventory levels and communicate supply needs proactively
Qualifications:
- 3+ years of experience in surgery scheduling, procedure coordination or medical reception REQUIRED
- Strong knowledge of medical terminology
- Experience coordinating patient schedules and physician calendars
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Ability to work effectively in a fast-paced environment
- Experience in Vascular Surgery, Interventional Radiology, Cardiology, or Cath Lab settings PREFERRED.
- Familiarity with Peripheral Angiogram, Venogram, Genicular Artery Embolization (GAE) and Endovascular Procedures PREFERRED
- Insurance verification and authorization experience
