PennCares is seeking a self-motivated, organized Training Coordinator to support the planning, promotion, and delivery of trainings, workshops, conferences, and webinars. This role works closely with the Executive Director, staff, volunteers, trainers, and community partners to ensure training events run smoothly while helping increase awareness of PennCares and its mission.

Training coordination and event support:
- Coordinate logistics for trainings, workshops, conferences, and webinars from planning through follow-up.
- Serve as the primary liaison for trainers and speakers, including collecting presentation materials, biographies, AV needs, and reimbursement documentation.
- Prepare and distribute training materials such as handouts, certificates, evaluations, CEU materials, and sign-in sheets.
- Manage training registration processes and send timely announcements and reminders to participants and distribution lists.
- Coordinate training sites and webinar setup, including Zoom webinar hosting and support.
- Prepare post-training summaries, including evaluations and related follow-up materials.
- Maintain current training schedules and related information on the PennCares website.
- Support CEU application processes with educational institutions, as needed.
Marketing and community engagement support:
- Help promote PennCares trainings, activities, and events through email, website updates, social media, print, and broadcast outreach.
- Draft marketing and communications materials, including flyers, email campaigns, media alerts, talking points, and informational packets.
- Assist with marketing plans and outreach efforts for fundraising and community events.
- Maintain email and contact databases to support communications and outreach efforts.
- Assist with event-related mailings, in-kind donation coordination, and community event participation, as needed.
What we're looking for
- Experience coordinating trainings, workshops, events, or conferences in an office, nonprofit, education, or community-based setting.
- Strong organizational skills and the ability to manage multiple priorities and projects.
- Strong written and verbal communication skills, with the ability to work effectively with staff, trainers, community partners, media, and the public.
- Comfort using Microsoft Office tools such as Outlook and Excel, along with the ability to learn or use Zoom webinar tools and marketing platforms.
- Ability to work independently and follow through on details in a fast-paced environment.
- Familiarity with adult education, event planning, and communications support is strongly preferred.
2 to 5 years of experience in an office setting involving event planning, training coordination, or related administrative support; or an equivalent combination of experience and training.
Pay: $15.00 - $20.00 per hour
